JOB DESCRIPTION
HR & ADMIN OFFICER
JOB SUMMARY: In-charge of Polematrix Systems & Construction, Inc., overall HR Functions including Recruitment & Selection, Timekeeping and Payroll Processing, Compensation & Benefits, Employee Relations, Performance Management, Admin functions, and other related tasks that may be assigned from time to time.
DUTIES & RESPONSIBILITIES:
Recruitment & Selection
Facilitates the entire recruitment process including administering exams, interviews, and endorsement of shortlisted applicants to the Dept. Heads/Director, job offer & giving pre-employment requirements.
Facilitates the compliance of the onboarding checklist and contract signing of the newly hired employees.
Conduct company policy orientation for new hires.
Timekeeping & Payroll Processing
Generates timekeeping reports (total working days & overtime) every 10th & 25th of the month.
Process Payroll for Office Employees and Site workers.
Updates leave and deduction monitoring for payroll generation.
BIR & Government Statutory Benefits
Process SSS, Philhealth & Pag-Ibig Payments & Reports every month.
Facilitates SSS, Philhealth & Pag-Ibig-related requests of employees including the processing of loans, sickness, maternity, updating of records, and other related concerns.
Distributes 2316 to all employees and submit signed 2316 to Finance at the end of February.
Employee Relations
In-charge in planning & preparation of yearly company activities like Team Building & Christmas Party and other company-related activities.
Issue a Notice to Explain and a Notice of Disciplinary Action / Decisions to erring employees.
Process employment termination including exit interviews, processing of clearances/ last pay, and quitclaims.
Performance Management
Submit and collect Performance Evaluation Forms to Dept. Head on probationary employees' 3rd and 5th month of probation
Collate and summarize Performance Appraisals for regular employees.
Facilitate/schedule feedback of employees with Immediate Superiors.
Admin & Others
Issue and disseminate Interoffice Memorandums and Organizational Announcements.
Facilitate purchasing of medicine, office supplies & other office-related needs.
Issue Acknowledge Equipment Accountability and Release Form (EAR Form), Company ID, Email Accounts, and COEs.
Manages the employee records (201 files, employment contracts) and issuance of necessary certificates of employment. 6. Close coordination with HR Officers on HR-related concerns.
Plan, organize and execute employee activities to strengthen employee engagement.
Performs other tasks that may be assigned from time to time.
JOB QUALIFICATION
JOB REQUIREMENTS:
Must possess at least Bachelor's/College Degree in Human Resources Dev. Management, Psychology, or any related course.
Minimum 2 years of relevant working experience in Human Resources.
Must have experience in Telco/Electrical is a plus.
Understanding of general human resource policies and procedures.
Good knowledge of employment/labor laws.
Excellent verbal and oral communication skills
Honest and can keep confidential information
Knowledgeable of, and experience with, developing and updating HR manuals, policies, and procedures.
Must have an in-depth understanding of the principles and processes of the Human Resource function (e.g. payroll, recruitment, compensation and benefits, training, and performance management.
Willing to work at Mapulang Lupa, Valenzuela.
