Role Summary:
The Freight Billing Analyst will support the Global Customs and Trade Compliance team in managing ocean freight and demurrage billing for US exports. He/She is responsible for processing and coordinating cross-functional efforts to resolve billing issues and proactively improve processes. This includes drayage demurrage investigation & claims, past due statements, and invoices. The role will proactively manage end-to-end billing and internal communication across functions to resolve transportation payment inquiries.
On an on-going basis, the Freight Billing Analyst is expected to perform based on the key result area of the process, meet/exceed metrics set based on the Key Performance Indicator, identify improvements, and execute related controls in-scope.
Major Duties and Responsibilities:
Freight Billing, Reporting and Controls
Invoice Approval & Issue Resolution
The Freight Billing Analyst is responsible for the review and approval of daily ocean freight billing from freight forwarder to ensure accuracy, timeliness and that billing is in accordance with ocean contract rates and terms. Due to a myriad of accessorial charges inherent in this industry, s/he must maintain a detailed chronology of events and timing to avoid charges that are not attributable to Hershey to avoid overcharges.
He/She will work closely with Source to Settle team to ensure timely payment of freight bills to avoid credit issues that would jeopardize space allocation when booking export shipments.
The role will partner with Freight Accountant to resolve any freight bills-related issues such as but not limited to freight estimates in accordance with ocean contract rates and terms and validity of accessorial charges. S/he is responsible in reviewing Vendor Contract on payment terms and updating the term on Vendor Master Data.
Also, the Freight Billing Analyst will maintain relationship with freight forwarder and Carriers to ensure HSY Guidelines and requirements are properly and timely cascaded. He/She will run and monitor all PO balance and request for increase budget from Hershey Export Manager.
Reporting and Controls
The Freight Billing Analyst is responsible for creating and maintaining a Masterfile for all US shipments related to International Markets. He/She will ensure Vendor Masterfile are periodically cleanup deleting obsolete vendor information. He/She is also responsible on SOA Reconciliation with Carrier on a weekly basis to track any overdue payments.
Key Performance Indicator/Service Level Agreement
Record to Report has defined Service Level Agreement and Key Performance indicator Metrics for BOL/Invoice for vendors, which need to be met consistently. It is the responsibility of the Freight Billing Analyst to ensure that these metrics are met or exceeded. Also, he/she must ensure that preventive and necessary actions are in place in case metrics are not met.
Internal and External Audit Support and Ad-hoc/Other Tasks
This role is responsible for the preparation and submission of documents required for internal or external audit of the Hershey books and work processes. Together with the RTR Associate Manager, he/she is responsible for the timely communication and resolution of issues identified during any internal or external audit in ensuring safeguarding the internal controls of the RTR process.
Others related ad hoc roles that may be assigned for Freight Billing or the overall RTR area.
Minimum knowledge, skills and abilities required to successfully perform major duties/responsibilities:
Knowledge:
BS Accountancy, or its equivalent
Certified Public Accountant, preferred but not required
Proficient understanding of US GAAP and local GAAP
Basic knowledge of SAP
Knowledge in Microsoft Office (Excel, PowerPoint, SharePoint)
Familiarity with International Incoterms
Experience working with Freight Forwarders and Ocean Carriers.
General knowledge of international logistics

Education/Experience:
Education: Bachelor's Degree in Accountancy
Experience:
At least 3 years experience in Accounting
Must have experience in Invoice processing, Reporting and Reporting Analysis.
Must be resilient and adaptable to change.
Must have experience in SAP.
Must be proficient in Excel.
Strong preference given to candidates with Freight experience.
Must have strong critical thinking skills and high attention to details.
Must have strong business partnering experience with internal and external stakeholders

Must have the capability to establish rapport and strong collaborative relationships with cross functional teams while also having the ability to push back when needed.
Must be willing to work on Mid and Night shift schedule (night shift every month end closing)
