This position will provide assistance to the Field Office in maintaining the accounting records for Southern Philippines Operations, and perform appropriate controls and reconciliations, periodic accounting processes and supports the year-end audits.
Key Responsibilities:
Maintains integrity of the books of account for Southern Philippines Operations.
Ensures that Mission's accounting policies and procedures are adhered to.
Gathers and monitors submission of the accomplished expenses reports of projects and ensures that all expenses are fully supported with documents upon submission to the Southern Philippine Office in Zamboanga City.
Reviews Project Fund requests from the Area Coordinator and Partners.
Reviews the accuracy and validity of the project expense request and reports.
Ensures that all excess cash advance is returned by project/area coordinators and ministry partners.
Records cash receipts, cash disbursements and book adjustments in the FIMS system.
Prepares monthly financial reports and ensures timely submission of reports.
Assists the Field Finance and Admin Officer in preparing and reviewing budget of the Field Office.
Reconciles cash balances and recording of expenses of the Field Offices on a quarterly basis.
Provides technical support to the staff and ministry partners.
Ensures monthly scanning and encrypting of all receipts field operations and upload to the cloud.
Other Duties
Conducts project visits as needed for monitoring and validation.
Maintains monitoring tool of staff and partner's advances, budget utilization, and field office furniture and equipment.
Qualifications:
Accounting Graduate or its equivalent, a Certified Public Accountant is an advantage but not required.
Minimum of 1-2 years experience in accounting and other relevant field (e.g. audit, tax)
Experience in the bookkeeping process is required.
Experience in designing finance processes and procedures is desired.
Abreast with financial system (ERP) and accounting software and processes.
Ability to find and solve accounting issues.
Capable of working independently and at the same time being collaborative.
Cross-culturally sensitive and knows how to build relationships with different cultures.
With analytical skills and keen observance to deadlines.
Good communication and coordinating skills.
