All of our roles are 100% remote so you'll be able to work from home.Who The Client Is: The client is a Melbourne-based design & build firm with over 25 years of experience in luxury home renovations, extensions, custom builds and outdoor living spaces.They specialise in working in prestigious suburbs around Melbourne including Bayside, Stonnington, Glen Eira and surrounding areas.Their approach focuses on clarity, transparency, high quality craftsmanship and client communication to ensure projects are well-planned, with no surprises or hidden costsRole Overview: The client is seeking a highly organized and proactive Executive Assistant to provide administrative and personal support. This role will be responsible for managing the executive's inbox, calendar, and invoices, while also ensuring that business processes remain streamlined and well-organized. The ideal candidate is detail-oriented, resourceful, and able to anticipate needs in a fast-paced environment.Key Responsibilities:
Manage and prioritize the executive's inbox, ensuring timely responses and flagging important communications
Maintain and coordinate an efficient calendar, scheduling meetings, appointments, and reminders
Prepare, process, and track invoices, expenses, and other financial documentation
Organize and maintain business processes, ensuring workflows are documented and followed
Provide day-to-day administrative and personal support as needed
Liaise with internal teams, clients, and external partners on behalf of the executive
Handle sensitive and confidential information with discretion
Requirements
Proven experience as an Executive Assistant, Personal Assistant, or in a similar administrative role
Strong organizational and time management skills with the ability to multitask and prioritize effectively
Excellent communication skills, both written and verbal
Proficiency in Microsoft Office 365, Google Workspace, and other productivity tools
Experience with invoice preparation and basic financial administration
High level of discretion, professionalism, and attention to detail
Ability to work independently while managing multiple deadlines
