About the Role:
You are responsible for providing executive level support to the CEO of a staffing business and a foundation aimed at finding a cure for a rare genetic disease in all areas of office and personal administration. You will also support the CEO's sales and marketing functions through executive level coaching and guidance.
You will play a vital role in how efficient, organized and kept at the highest professional standards the executive functions are.
Responsibilities:
EXECUTIVE ADMIN SUPPORT
Preparation and editing of confidential correspondence, reports, documents, meeting minutes and presentations.
Manage the CEO's diary, scheduling of appointments and meetings, and bookings for client and internal meetings.
Travel and accommodation arrangements including flights, hotel bookings and itineraries
Hold the CEO responsible for matters assigned to him and help drive his efforts where it's needed the most
SALES AND MARKETING SUPPORT
Consolidate and conduct deadline management of regular reports and monitored projects including key meeting schedules
Support major partnerships with sponsors and potential clients by facilitating high level communication, rapport and professional relations
Conduct in-depth researches about companies, government entities, key people and other topics that are involved in the transactions of both the business and the foundation
Find out about important information to help prepare for meetings, presentations and events attended by the CEO
Create a list or document of necessary requirements to be compliant and do follow ups as necessary
EVENTS MANAGEMENT
You will work with the CEO to line up all upcoming events that need to be organised
Collaborate with members of the foundation, third party vendors and freelancers, the leadership team of his staffing company to ensure that the vision for the events is delivered in a timely, efficient manner
Qualifications:
Must have a minimum of 7 years' experience as an Executive Assistant supporting C-level executives
Experience in working for multinational companies is an advantage
Strong competencies related to project management, events navigation and production
Advanced proficiency in office management systems (MS Office Suite, Google apps) and procedures
Background or experience in sales and marketing will be highly regarded
Exceptional researching and documenting skills
Outstanding organizational and time management skills
Ability to multitask and prioritize daily workload
Excellent verbal and written communication skills and comprehension
Innate leadership abilities with the capacity to drive people forward
Objective and open to criticisms
Highly organized and pays careful attention to detail
Independent, self-sufficient, and highly resourceful
An adaptive style that may require urgency when needed
