JJ Commerce Studio is looking for a talented, goal-driven, and enthusiastic member of our growing team as an Executive Assistant. We are looking for an Executive Assistant to perform a variety of administrative tasks and support our company's senior-level managers.
WHAT'S IN IT FOR YOU
We offer a full-time, permanent work-from-home setup. The work schedule is from Monday to Friday, 8:00 AM to 5:00 PM (Manila Time). All roles are open to both Philippine-based candidates and outside the country. Enjoy working from anywhere you like!
SYSTEM REQUIREMENTS
Laptop/Desktop - We discouraged the use of tablet. Windows computers are ideal.
Headset - Any type of headset will do
Webcam - Either built-in or external is fine
Internet - LAN or WIFI is fine
Working Station - We require a conducive working station. As much as possible, refrain from staying in common areas such as the living room, the kitchen, the dining room, etc.
JOB RESPONSIBILITIES AND EXPERIENCE REQUIRED
In this role, you'll be doing the following tasks:
Build a thorough understanding of the business, operations, and strategic needs of the company. Based on this, drive the priorities through weekly meetings, and identify opportunities to increase leadership team effectiveness
Identify and take on ad-hoc strategic projects - everything from defining new opportunities to executing key initiatives, and closing the gaps in business and operations
Work hand in hand with colleagues on the Finance, People, and Operations teams to drive employee satisfaction, recruiting efficiency, training, facilities, etc. This role will be expected to juggle priorities across different organizations
Act as the point of contact between the executives and internal/external clients
Undertake the tasks of receiving calls, taking messages and routing correspondence
Handle requests and queries appropriately (ordering food, etc.)
Maintain diary, arrange meetings and appointments and provide reminders
Make travel arrangements
Produce reports, presentations, and briefs
Strong candidate's experience and qualifications will include:
A strong candidate will have at least 3 years of proven experience as an Executive Assistant, Personal Assistant, or similar role, at least 3 years of email and calendar management, at least 1-year of project management experience, ability to multitask and prioritize tasks, possess the highest level of confidentiality, integrity, and neutrality, excellent time management skills, well-developed organizational skills, attention to detail, great verbal and written communication skills, excellent problem-solving and decision-making skills and professional discretion.
