A fast-growing E-commerce startup (2022), located in New York, is looking for a dynamic and independent Executive Assistant.
DESCRIPTION OF WHAT YOU WILL DO
The Executive Assistant would manage a broad variety of administrative tasks that facilitate the CEOs ability to effectively build and lead the organization, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with various stakeholders; composing and preparing correspondence. Additionally, the Executive Assistant would assist in sales and project management initiatives that will ultimately help ensure the success of the business. In order to be successful in this role, the Executive Assistant must be highly communicative, self-confident and self-sufficient, have a keen attention to detail and be adaptable and willing to go above and beyond to achieve common goals.
YOUR KEY RESPONSIBILITIES
ADMINISTRATIVE
Serve as gatekeeper and liaison for the CEOs by managing phone calls, emails, and written correspondence and indicating priority level for each platform
Maintain and update calendars in a fast-paced environment with many competing priorities including fielding all incoming scheduling requests, prioritizing meetings, communicating with all stakeholders, and ensuring that meetings are set up for success
Ensure Executives are apprised timely of all important meetings and deadlines
Arrange and handle logistics for meetings and events to include: scheduling, drafting agendas, develop, compile, and distribute presentation materials; and record meeting minutes
Perform Post-conference follow-up tasks/lead entry as directed
Be proactive and perform other ad hoc tasks and projects assigned by executives
Manage Client scheduling for executives as requested
PROJECT MANAGEMENT, SALES, & RESEARCH
Oversee the setup and ongoing maintenance of Monday.com cloud-based software
Assist in finding company prospects using LI Sales Navigator, etc.
Map out due dates of various phases of projects within the Monday.com software and other identified platforms
Perform various internet-based and business prospect research projects in an on-going basis
Research best practices around how to handle industry based complex situations and provide guidance on the best resolutions
Source new vendors and resources
REPORTING
Run weekly and monthly reports as requested and assigned by executives.
Requirements
YOUR EDUCATION/SKILLS/ABILITIES:
Bachelor's degree from an accredited 4-year university required; experience may be considered in lieu of degree
3-5 years of related experience in administrative work required
2+ years of Project management experience preferred
Experience supporting multiple executives at a time
Experience with an e-commerce or startup organizations a plus.
Experience working in a fast-paced environment, eager to advance skills and knowledge, and have done a fair share of self-teaching
Must possess an undeniable level of trust and confidentiality due to the nature of this position
Demonstrated ability to communicate effectively and influentially with members of all levels within an organization.
Effective interpersonal skills required, along with a high level of discretion and a manner of confidentiality.
Proficiency in Microsoft Office Suite software (Word, Excel, Outlook, etc.) required
Proficiency utilizing cloud-based project management systems preferred
High degree of organization and/or attention to detail required.
Ability to work proactively and independently in a fast-paced setting.
Ability to communicate effectively in person and by phone with individuals inside and outside the organization.
Ability to read, analyze, and interpret complex documents. Ability to respond effectively to the most sensitive inquiries or complaints. Ability to make effective and persuasive presentations on complex topics to all stakeholders.
Ability to define problems, collect data, establish facts, and draw valid conclusions.
Ability to handle a diversity of assignments and to work under pressure.
Demonstrated strong organizational skills, including proven ability to prioritize work is required.
Ability to adapt quickly based on the needs of the company or executive, and have a strong commitment to growth through learning new things
