Job Title: Executive Assistant
Reports to: President /CEO
Department: Administration / Human Resource Department
Knowledge:
a. Candidate must possess at least Bachelor's/ College degree holder, Post Graduate Diploma/ Master's Degree in Business Administration: Business Studies/Administration Management or other equivalent.
b. At least 2 years of working experience in the related field.
c. Knowledgeable and experience in handling company secretarial work.
d. Proficient with Microsoft Office (word, Excel, PowerPoint)
Skills:
a. Good communication skills and able to express thought clearly to all levels of the organization and external customers
b. Ability to source contacts and conduct cold calls to establish or set initial meetings
Attitude/s:
a. Hard-working, able to handle work pressure
b. Self-starter, confident, organized
c. Decisive, multi-tasker, detailed, innovative
· Managing the day-to-day operations of the president office.
· Organizing and maintaining files and records
· Scheduling and setting up travel, meetings, speaking engagements and other appointments for the executives. And ensuring there are no scheduling conflicts and update executives know where they need to be when.
· Managing projects and conducting research
· Organizing the flow of information to members of the executive leadership team. Screening phone calls, open and sort mail, and summarize reports and memos that are received.
· Enhances president's and corporation's reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
· Government Application for NEW business, fill up information and obtain documents of the business units)
· Receiving and filing of mails, bills, credit card, SOA, utility and other personal documents of the executive
· Check and request payments of monthly dues.
· Coordinate other departments head and staff as per the president / executive instructions.
· Communicate via calls, emails; send to liaison important matter and documents.
· Confirmation of meeting
· May be assigned to related task from time to time by your executive.
