JOB SUMMARY
Reporting directly to the Vice President, the Executive Assistant provides high-level executive support to ensure internal and external communications are properly managed. The Executive Assistant serves as the primary point of contact of all Group and Division Heads on all operational and administrative matters concerning the Office of the Vice President and oversees special projects. The Executive Assistant also serves as a liaison to senior management and steering committee and facilitates intergroup coordination. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
DUTIES AND RESPONSIBILITIES
Completes a broad variety of administrative tasks for the Vice President including: managing an extremely active calendar of appointments; composing and preparing memos, and filing of confidential documents.
Communicates directly and on behalf of the Office of the Vice President as and when required; including drafting acknowledgement letters, business correspondences, etc.
Assumes the "gatekeeper" and "gateway" role; effectively managing the affairs of the Office of the Vice President.
Works closely with the Vice President to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a 'barometer', having a sense for the issues taking place in the environment and keeping the Vice President updated.
Attends operational meetings with or on behalf of the Vice President; follows-through on work commitments, projects deadlines, and monitors projects milestones.
Coordinates with concerned Cluster Heads, Group Heads, and/or Division Heads regarding operational issues, projects, and deliverables, including those which are sensitive or confidential in nature. Make recommendations to the Vice President on appropriate course of action, referral, or response based on reports received, research, and data gathered.
Conduct research, collect, collate, and analyze data, and prepare reports as requested by the Vice President.
Minimum Qualifications
Candidate must possess at least a Bachelor's/College Degree , Economics, Business Studies/Administration/Management or equivalent.
At least 5 year(s) of experience as high level Executive Assistant to a C-level executive
Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
Very strong interpersonal skills and the ability to build relationships with stakeholders and senior management
Expert level written and verbal communication skills
Demonstrated proactive approaches to problem-solving with strong decision-making capability
With strong business acumen
Proficient in MS Office
