Summary of the Role:
Perform administrative and secretarial tasks which include, but are not limited to, managing the executive office, screening contacts for the executive and referring them to others as necessary, scheduling appointments, making travel arrangements, receiving guests, coordinating logistical arrangements for events, and other activities.
In this job, the Executive Assistant functions independently and uses appropriate judgment, decision-making and discretion, and keeps much confidential information.
Duties and Responsibilities
Coordinates with the Department Heads on all operational concerns.
Schedules meetings.
Handles and screens all incoming and outgoing calls.
Records and files all important documents.
Arranges business travel requirements of the executives and other VIPs.
Prepares communications such as memos, legal documents and other correspondence
Performs other tasks that may be assigned from time to time.
Job Specifications
Graduate of Business Studies, Business Administration, Management, or its equivalent
At least seven (7) years secretarial and administrative work experience.
Proficient in all computer software and applications particularly in Word, Excel, Power Point and Outlook
Advanced level of written and verbal communication in English
Must be well adept with travel arrangements; events organizing and other administrative functions
With an above average negotiating skills, problem-solving, inter-personal and organizing skills

Proven ability to handle confidential information and highest level of customer/client service and response
Must be highly organized, attentive to details, analytical and systematic individual
Must have a sense of urgency and initiative to perform set duties even without instructions
Highly motivated and has the ability to coordinate multiple projects
Can work under minimum supervision and able to cope with pressures and deadlines
Willing to work long hours; even on weekends and holidays; if needed
With experience in a technical writing role
Willing to report to the office daily
