Basic Function (s):
Making sure that everything is in place for the Division to function smoothly.
Job Accountabilities:
1. Monitors the day-today operations of the Division for reporting purposes to the Division Head.
2. Drafts letters and initiates calls to SEC in case of market halt as per instruction of the Division Head.
3. Sorts internal memos and external letters addressed to the division before routing to the respective department head within the division.
4. Organizes and maintains confidential files, records and trade related matters.
5. Plans and schedules meetings, appointments, speaking engagements and other appointments for the executives that the head are assigned to work with.
6. Monitors and manages the flow of information to Department Heads.
7. Prepares and formats information for internal and external distribution; including writing letters and memo, compiling data for reports, creating computerized presentation.
8. Prepares and edits division correspondence, reports and presentations.
9. Prepares division budget for regular activities and consolidates budget from the departments for special activities to be reviewed and validated by the division head together with department heads.
10. Makes travel and guest arrangements of the Division as well as external parties.
11. Provides logistics support to projects and events of the Departments in the Division on the following:
Selects good and within the budget food for the Guest/Trading Participants/Brokers
Prepares venue appropriate to the event
Ensures availability of Sound System and/or Presentation Equipment
Liaises with the assigned person involved in a particular event for proper coordination
12. Assists in the preparation of materials for trainings, seminars and meetings.
13. Monitors office supplies, machine and equipment maintenance including burnt out electric bulb in the ceiling.
14. Works in a professional environment.
15. Works on an abrupt need of the Division from time to time.
Administrative and other Operational Matters:
1. Promotes and implements the Exchange's mission, vision and corporate values.
2. Ensures accomplishment of Key Result Areas (KRAs) committed.
3. Ensures accurate and timely submission of reports required by the Exchange.
4. Ensures strict implementation of Company Rules and Regulations.
5. Performs other duties that may be assigned by immediate superior from time to time.
Qualification Guide:
Education: Graduate of any four year degree course preferably
business related or IT related.
Experience: At least 1 year experience as executive secretary
or executive assistant.
Skills: Above average human relations and service orientation;
with excellent written and oral communication skills;
computer literate
