Summary:
The incumbent performs administrative services to ensure efficient operations of the Executive Office. They see to it the department's administrative work is performed in an effective, updated, and accurate manner.
Responsibilities:
1. Managing an extremely active calendar of appointments:
Plans, coordinates and ensures the President's schedule is followed and respected, creating win-win situations for direct access to the President's time and office.
Works closely and effectively with the President to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
2. Communicating directly on behalf of the President and the Executive department and demonstrating strong communication skills to maintain credibility, trust and support with both internal and external customers.
3. Researching and following-up on incoming issues and concerns addressed to the President, including those of a sensitive or confidential nature.
4. Determining appropriate course of action, referral, or response by prioritizing conflicting needs; handling matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
5. Arranging complex and detailed travel plans, itineraries, and agendas, as well as compiling documents for travel-related meetings for the President.
6. Composing and preparing critical correspondence, including drafting acknowledgement letters, personal letters, as well as providing high level administrative support to the President and the Executive department.
Qualifications:
1. At least 2 years of work experience in a similar position.
2. Graduate of a four-year course.
3. Proficient in English, with strong communication skills (both written and verbal).
4. Adept in providing high-level administrative and office support.
5. Organized, decisive, able to multitask and meet deadlines.
