About the Role:
We are looking for someone who will be able to support high-level executives and management or entire departments in providing administrative support and performs numerous duties, including scheduling, writing correspondence, emailing, handling visitors, routing callers, and answering questions and requests.
Job Description:
Provide administrative and clerical support to departments or individuals.
Schedule meetings and arrange conference rooms.
Alert manager about cancelations or new meetings.
Manage travel and schedule of the executive department or leaders.
Coordinate travel arrangements; prepares itineraries; prepares, compiles and maintains travel vouchers and records.
Handle information requests.
Prepare correspondence and memorandum mail into envelopes.
Arrange for outgoing mail and packages to be picked up.
Manage spreadsheets.
Greet and receive visitor.
Prepare confidential and sensitive documents.
Coordinates office management activities.
Determine matters of top priority and handle accordingly.
Prepare agenda for meetings.
Helps prepare office budget.
Assist in corporate events and volunteer activities.
Operate office equipment, such as photocopy machine and scanner.
Coordinate with committees and managers.
Relay directives, instructions and assignment to executives.
Receive and relay telephone messages.
Maintain hard copy and electronic filing system.
Strong analytical and planning skills;
Good communication and presentation skills;
Excellent problem-solving skills;
Proven experience as an executive assistant or other relevant administrative support experience.
In-depth understanding of entire MS Office suite.
Ability to organize a daily workload by priorities.
Must be able to meet deadlines in a fast-paced quickly changing environment.
A proactive approach to problem-solving with strong decision-making skills.
Professional level verbal and written communications skills.
Able to handle confidential information and documents.
