Responsibilities:
Office Management: calendar and email management, updating insurance documents
Smoke Alarm Inspection: Manage a database, schedule smoke alarm inspections, and create certificates of compliance once the inspection is completed
Vehicle Management: Maintain a database of company vehicles and manage registration details. Vehicle tracking.
AroFlo: Investigate invoices arriving with incorrect POs and enter them into AroFlo. Process credit notes and invoices to POs in AroFlo. Data entry. Prepare and send quotes through AroFlo.
Marketing: Create/schedule Facebook and Instagram posts, write blog posts for website/social, create marketing materials (e.g.: flyers, emails, etc.), and send and manage customer surveys after jobs are completed.
HR Assistance: Manage apprenticeships, claim payments, maintain records of staff licenses, and process leave requests from staff using Google Forms.
Requirements:
BS Degree, tertiary education in Business Administration or equivalent
Minimum 5 years of experience as an Executive Assistant or in a similar role
Proficiency in Excel and Word skills
Strong administration, organizational, and analytical skills
Excellent verbal and written communication skills
Excellent problem-solving and critical thinking skills
Works well within teams
