As an Executive Assistant, you will be responsible for providing comprehensive administrative support.
Responsibilities1. Calendar Management: Efficiently manage and prioritize the executives' calendars, scheduling meetings, appointments, and travel arrangements. Proactively anticipate scheduling conflicts and propose solutions.
2. Communication: Serve as the primary point of contact for internal and external stakeholders. Manage and screen emails, phone calls, and correspondence. Prepare and distribute relevant documents as needed.
3. Meeting Support: Prepare meeting agendas, attend meetings when necessary, take minutes, and follow up on action items. Coordinate and set up conference calls, video conferences, and presentations.
4. Document Management: Organize and maintain digital and physical files, ensuring all documents are easily accessible and up-to-date. Handle sensitive and confidential information with discretion.
5. Expense Management: Manage and reconcile expense reports, ensuring accuracy and compliance with company policies.
6. Project Support: Assist in special projects and initiatives by conducting research, preparing reports, and providing administrative support as needed.
Qualifications
Bachelor's degree or equivalent work experience.
Proven experience as an executive assistant or in a similar role, preferably supporting C-level executives.
Excellent organization and time management skills.
Strong communication and interpersonal abilities.
Proficiency in Microsoft Office Suite and other relevant software.
Discretion and a demonstrated ability to handle confidential information.
Proactive, resourceful, and able to work independently.
Exceptional attention to detail and problem-solving skills.
Flexibility to adapt to changing priorities and work effectively under pressure.
