HelpFlow's CEO is seeking a very efficient and effective Executive Assistant. The ideal candidate is smart and picks up new technologies quickly. We are looking for someone who is very much experienced in being an Executive Assistant with the ability to adapt to existing company process and confident to create new ones--with the goal of improving workflow within the company. If you are someone with no or very minimal experience in being an Executive Assistant, please do not apply. A very high degree of reliability is necessary since the CEO will be relying to the ideal candidate to run some parts of the business processes and some parts of his personal life. Looking for someone who is willing and used to working during US PST hours (schedule is non-negotiable) and should be able to work same schedule as the CEO. Ideal candidate is responsive every time the CEO contacts him/her within reasonable hours. If you like to work in a supporting role with high degree of efficiency and reliability--then this job is for you.
You must be comfortable in communicating in English both written and verbal since the CEO gives high importance on clear communication and aside from that, you will be communicating with external contacts on behalf of the CEO. You will act as the voice of the CEO and will represent the company and the CEO himself to internal and external stakeholders of the company.
Miscellaneous info about the role:
Initially part time of 20 hours per week but will rapidly grow to full time (40 hrs per week) in 4-6 weeks.
Reports to CEO with dotted line reporting to Operations Manager and other Managers of the Company
Salary TBD based on experience, but we've identified market rate for a role like this. Our target hire will be someone who is a tenured Executive Assistant with a good grasp and understanding of effectively providing assistance to top management executive/CEO.
You'll work virtually from home, during US business hours in line with the schedule of the CEO.
Requirements
Your MINIMUM QUALIFICATIONS to be successful in this role:
Bachelor's degree (with Master's Degree an Advantage)
Excellent in written and oral communication skills
Excellent listening and comprehension skills
Problem Solving skills
Ability to prioritize tasks manage time effectively to meet deadlines
Minimum experience of 3 year as an Executive Assistant
REQUIRED VIRTUAL OFFICE SETUP:
Stable high speed internet connection (mobile internet not recommended)
Laptop or PC that can handle multiple work tools at a given time
Headset with mic and webcam for client and team meetings
Quiet and distraction free workplace
RECOMMENDED BUT NOT REQUIRED: Knowledge and experience with e-Commerce. You understand how an e-Commerce business works and how they use website live chat to become more successful.
PRIMARY RESPONSIBILITIES - role based competencies and skill sets:
Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications. In line with this, one of your major goal when you start is to create the process and infrastructure of managing the email systems and correspondences of the CEO.
Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel--whether personal or work-related.
Welcomes guests and customers by greeting them on the telephone, and answering or directing inquiries.
Prepares reports by collecting and analyzing information.
Maintains customers and partners confidence and protects operations by keeping information confidential.
Completes projects by assigning work to other staff and following up on results.
Secures information by completing database backups and resolves technical issues encountered by the CEO on applications used.
Provides historical reference by developing and utilizing filing and retrieval systems and recording meeting discussions.
Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; and evaluating new equipment and techniques.
Maintains professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, and participating in professional societies.
Contributes to team effort by accomplishing related results as needed.
Fulfill other ad hoc and administrative task that the Jon may assign to him/her related to the business or his personal life.
