We are looking for an organized and professional Admin Specialist to handle all communications with the company from a remote position specially regarding Planning/Permit Coordinating. This role would also include Executive Assistant responsibilities such as managing corporate schedules, making travel plans and issuing invoices and overall oversight on business diligence.
Job Description:
-Liaising with clients, stakeholders, staff and contractors on lead times and job requirements
-Coordinate calendar management tasks such as scheduling meetings, rescheduling, and confirming meetings
-Take care of email management duties and update contact lists when necessary - including writing, proofreading, and sending emails
-Managing the permit application and approval process
-Fill up application forms - Oplinc - Road Occupation License
-Book and confirm accommodation, logistics, and travel arrangements as needed
-Perform additional administrative tasks such as online research, light bookkeeping, and data entry as requested
-Anticipates needs prior to meetings, conferences, etc.
-Uses a project management tool to keep all projects organized and track progress
-Customer, Quote and Order set up
-Accounts receivable - Invoicing and Payment matching tracking.
-Accounts payable - Supplier setup, supplier payments and matching
-Account GL, Bank reconciliation, Month end, reporting.
-Cost allocation job back costing
Requirements
To be successful in this role, you will need to have:
-3+ years of proven Administrative Specialist / Executive Assistant experience
-Experience in the accounting and/or finance industry would be an advantage but will not be a pre-requisite
-Tech savvy; able to learn new software and tools for better efficiency
-Familiarity with office management procedures and basic accounting principles
-Excellent knowledge of MS Office Excel and office management software
-Strong time management, organizational, and interpersonal skills
-Excellent written and verbal English communication and interpersonal skills
-Enthusiastic and proactive approach with strong attention to detail.
-Ability to complete a high volume of tasks independently with little or no supervision
-Highly motivated, highly adaptable, and a quick learner.
-Ability to work under pressure and meet deadlines in a fast-paced quickly changing environment.
