Executive Administrator Job Description.
Summary
Grindstone is an innovative, Minority-Owned Small Business specializing in providing cutting-edge cybersecurity solutions and services to businesses and government agencies in the Mid-Atlantic region. We are looking for an experienced administrative assistant with expertise in all aspects of successful executive support.
Duties to include:
Perform document review, summary, and analysis
Analyze and revise draft copies of documents, files, and forms.
Edit and proofread correspondence for grammar, spelling, and clarity.
Supports the back-office and executive staff teams.
Securely handle confidential and sensitive company information.
Maintain staff calendars.
Manage email correspondence.
Manage expense reports for the Executive staff.
Manage contract administration.
Coordinate team meetings, including recording minutes and tracking actions.
Coordinate and manage materials for the training courses.
Maintain employee Human Resource records.
Work closely with staff to ensure that all accounting processes and procedures were adequate and adhered to, maximized internal control and integrity of financial data.
Maintain and grew vendor relations, managed contracts and files.
Answer phones calls and take messages.
Act as the point of contact between the executives and internal/external clients.
Education * Bachelor's/University degree or equivalent years of experience
Skills and Qualifications * 5+ years' experience in administrative role reporting directly to senior level executive/leader
Superb written and verbal communication skills, and ability to keep company confidences
Strong time-management skills and the ability to organize and coordinate multiple projects at once
Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems
Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
Sense of ownership and pride in your performance and its impact on company's success
Critical thinker and problem-solving skills
Strong customer service experience and the ability to adapt/respond to different types of characters
Preferred skills and qualifications
Experience overseeing budgets and expenses
Experience developing internal processes and filing systems
