Duties and Responsibilities:
 
Event Planning:
Coordinate and plan various events, such as weddings, conferences, meetings, and parties. Meet with clients to discuss their event requirements, preferences, and budget. Develop detailed event proposals and timelines.
Venue Management:
Oversee the booking and scheduling of event spaces within the hotel. Ensure that event spaces are set up according to the client's specifications. Work closely with other hotel departments, such as catering and housekeeping, to ensure seamless event execution.
Client Communication:
Maintain regular communication with clients to provide updates on event planning progress. Address client concerns and make adjustments to plans as needed. Ensure a high level of customer satisfaction throughout the event process.
Budget Management:
Develop and manage budgets for each event, ensuring that expenses stay within the allocated limits. Negotiate contracts with vendors and suppliers to secure cost-effective services.
Coordination with Suppliers:
Liaise with external vendors, such as florists, decorators, audio-visual technicians, and entertainment providers. Ensure that all necessary equipment and services are arranged and set up for the event.
Logistics and Operations:
Coordinate logistics, including transportation, accommodation, and any special requests form clients. Supervise event set-up and breakdown, ensuring that everything runs smoothly.
Problem Resolution:
Address and resolve any issues or challenges that may arise during the planning or execution of events. Anticipate potential problems and implement contingency plans.
Marketing and Sales Support:
Collaborate with the hotel's marketing and sales teams to promote event spaces and packages. Participate in sales presentations and site visits to showcase the hotel's event capabilities.
Documentation:
Maintain detailed records of all communication, contracts, and agreements related to each event. Prepare post-event reports and gather feedback for continuous improvement.
Stay Informed:
Stay-up-to-date with industry trends, new event technologies, and local competition.
 
Preferred Qualifications/Experience:
 
Has a passion for Sales and Marketing
A strong team player
Has a can-do attitude
Enjoys crafting creative and best-fit solutions for business partners and customers
Communicates and writes with fluency in English (as well as the local language)
Preferably has relevant experience in a similar capacity previously
Has strong interpersonal and communication skills
Able to engage in a friendly and professional manner with business partners and customers
Preferably a Bachelor's Degree holder in Hotel & Restaurant Management or relevant business course
Single or Married
Male or Female
21 years old and above
