JOB DESCRIPTION:
Maintain and file records of Facilities Management correspondences and documents for easy reference and usage
Assists in the consolidation of updated Progress Accomplishment/ Monitoring/ Updates and reports of designated Malls and Hotels intended for the weekly/monthly meetings
Receives all documents intended for the Facilities Management Group and other FMG personnel
Receives and logs all requests, billings, requests for payments, etc. needed for signed for approval by the FMG
Ensures all needed documents, justifications, contracts, etc. are attached to the requests
Monitoring incoming and outgoing documents
Assists Facilities Management Group on administrative works such as routing of correspondences/circulars/requests, etc.
Ensures all coordination with all related parties (internal and external) regarding the schedule of meetings, information dissemination, and others are compiled and confirmed correctly and properly
Routes memo for approval of higher management and distribution of the documents/circulars to other departments or concerned Facilities Engineers/Mall Admins
Attends to all incoming calls of FMG
Performs any other Mall Facilities Administrative-related duties that may assigned from time to time by the Regional Area Engineer
JOB REQUIREMENTS:
Candidate must possess at least a Bachelor's/College Degree in Mechanical/Electrical Engineering
A Professional License (Passed Board Exam) in the said field is required
Knowledgeable in MS Office, Auto CAD, Computer literacy, Engineering Terms, and Standard
Excellent interpersonal and communication skills
Excellent presentation and report writing
