The position is responsible in assisting the Division head in the administration of the division, preparing internal and external correspondences, and manually and electronically keeps, update and maintain all the Division's files and records making sure they are properly organized and kept.
Handles requisition requests and purchasing related to all branch/office needs, in coordination with the Underwriting Leads of each unit
Handles extraction and preparation of monthly report for all underwriting units
Handles preparation of production report for budget planning
Overseas Trainings workshops and seminars for the Underwriting group with coordination with the HR dept.
Assisting both local and international meetings/conferences/concerns/queries
Handles both local and international appointments from Reinsurers, Brokers, Insurance Companies and other foreign companies.
Handles travel/hotel bookings for international trips and conferences
Handles all travel documentations (Passport, and Visa applications)
Handles/Prepares all the needed travel checklists -Travel Memo; Cash Advances, Tickets, and confirmed appointments.
Handles all travel reimbursements/liquidations
Handles all other related documents for discussion
Handles/close coordination with the IC Reinsurance Division for the submission of the reinsurance documents (FPAs, and any needed statistics for submission). Follow-ups/handles queried items or any feedback for Unit's Information and compliance.
Handles/close coordination with the IC Licensing Division for the Company Certificate of Authority (Company License); Underwriter's Certificate of Authority and Certificate of Registration of our various Resident Agents. Follow-ups/handles queried items for Unit's information and especially the Company License.
Handles/Assisted query with our Sales Team for any statistics, Data Key Indicators and Annual Reports with the IC Administrative Division, and Information Technology Division
Bachelor's degree holder
2-3 years experience in Administration/Coordination
Knowledgeable in MS Office suite, especially in MS Excel and MS PowerPoint
Excellent verbal and written communication skills
Ability to establish and nurture beneficial business relationships
Self-motivated with willingness to take initiative and solve complex problems
Possess dynamic personality and able to deal with all levels in the organization
Strong interpersonal skills
Proactive and has sense of urgency
Can work with less supervision but result-oriented and has a good time management ability
