The Data Entry and Intake Manager is responsible for overall management and performance of the Data Entry and Intake Department. Responsible for successfully leading their team members and ensure that efforts are consistently aligned with clients' contractual terms and established team objectives.
Primary Responsibilities:
Data Entry and Intake operations ensuring all functions are completed in accordance with client/corporate goals
Meet if not exceed all service levels through effective planning, forecasting, staffing and allocation
Coach, mentor, and motivate employees in general to achieve above responsibility; train subordinates to be effective leaders by mastering these 3 skills
Send performance reports to all stakeholders
Optimize current processes and ensure that control measures are in place to meet expected output
Ensure that all process documentation for each client are in place
Manage different stakeholders across all region and PM system
Create scorecard measurement for all staff working on different task and role
Create and optimize motivation and or incentive programs through proper rewards and recognition
Encourage culture of accountability and respect amongst peers especially clients
Collaborate with training, quality, and process optimization to establish product knowledge excellence and maintain if not achieve exceptional customer service
Applies broad knowledge to listen to other's challenges and facilitate forming solution
Train the Team Leaders to assesses/monitor workload and balance resources for the team
Conduct regular staff meetings and review sessions to ensure all concerned parties are updated on program status and direction
Assist the Human Resources Department with recruitment by offering a client perspective of the processes and the required skillset
Monitor work of the DE and Intake Department, address all escalated concerns when needed, and make sure the team is provided with the tools required to perform their duties effectively
Ensure clarity on performance standards and established SLAs
Respond and resolve issues arising out of work or from within the team or across departments that may have a bearing on team effectiveness
Work with different teams and the management to implement continuous improvement efforts on the processes
Actively participate in creation and documentation of SLAs and KPIs driven by desired business outcome received from US stakeholders
Other related duties may be assigned from time to time.
Qualifications and Requirements
Leadership experience, and highly skilled stakeholder management
At least 3 years of Ops Management experience within the last 5 years specifically in the BPO setting
Ability to develop and produce more leaders within the organization through consistent coaching and mentoring activities
Basic Understanding of Medical Terminology and HIPAA compliance requirements
Detail-oriented, excellent verbal and written communication skills and interpersonal skills
