Position Overview
The Contract Administrator is part of the Commercial Operations Team and collaborates with internal
teams to analyze, vet, and develop contracts and supporting documents describing organizational
products and services in response to requests from prospective clients, ensuring adherence to
internal and external standards; coordinates legal review of contracts with the corporate legal team;
develops and maintains contract templates and is a content manager for team repositories.
Responsibilities for Commercial Operations Team
 Interpret, administer, and verify contracts and associated paperwork to prepare a complete
contract package
 Provide technical editing and Quality Control review to ensure accuracy, clarity, and consistency
of questionnaire responses, proposals and contracts delivered to Synchrogenix and Certara
clients
 Complete client Requests for Information, Questionnaires, and Vendor Forms/Registrations
 Examine and vet client Requests for Information/Proposal, create calendar reminders for key
milestones, and manage document compliance requirements
 Participate in the development of proposals, bids, quotations, or other documents describing
organizational products and services in response to requests from prospective clients, ensuring
conformity to client requirements
 Manage/curate content for proposal and contract repositories
 Collaborate with members of the sales, marketing, finance, legal, quality assurance, technology,
product teams, and other subject matter experts to ensure content is complete, accurate, and
timely
 Perform business reviews of contracts to ensure adherence to company commercial standards
 Vet contracts/documents as required to ensure compliance with company policies and
adherence to governing agreements with clients
 Maintain and retrieve contract documents and ensure adherence to records control
requirements, including maintenance of files and systems automation
 Support team compliance and adherence to company and client standards
 Maintain client contract templates/processes/preferences/requirements
 Develop and maintain workflows relevant to approval of contract templates
 Develop and maintain workflows for gathering, approval, and updating of content for language
repositories
 Develop and maintain system workflows and user job aids
 Develop and maintain a QC and compliance checklist for RFPs, questionnaires, and governing
agreements
 Liaise with the Finance Team for up-to-date banking, invoicing, and remittance information
 Accountable to track documents to deadlines and standard turnaround times
 Monitor existing contracts and associated paperwork to ensure timely renewals
 Track contract activities within Synchrogenix and Certara systems as required
Requirements
 Bachelor's Degree or extensive related experience
 Minimum 2 years of experience in related role
 Excellent organization, documentation, follow-up and problem solving skills.
 Excellent verbal communication skills
 Excellent technical writing/documentation skills
 Advanced proficiency in Adobe and Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
 Displays and maintains in-depth/high working knowledge of company's contract needs
 Experience with automated contract software a plus
 Exceptional attention to detail and commitment to high quality deliverables
