They specialise in designing, managing, and constructing new builds and commercial refurbishments.JOB SUMMARY:We are seeking a proactive and detail-oriented Administration & Tender Support Officer who will provide essential support across project administration, tender coordination, and general business operations. This role plays a key part in ensuring our projects are set up accurately, subcontractors are engaged throughout the tendering process, and internal documentation is maintained to a high standard.KEY RESPONSIBILITIES:Project & Operations AdministrationUpdate project cost tracking in Excel and Procore using data extracted from XeroMaintain and manage Procore records, including:Setting up new jobs and uploading budgetsUploading drawings and relevant documentationAdding and maintaining project personnel accessEnsuring site diaries and project photos are updated regularly (weekly)Monitoring RFI status and coordinating follow-ups (weekly)Tendering SupportCoordinate tender documentation and communication with subcontractorsSend out drawings, scopes of work, and tender packages to subcontractorsConduct regular follow-ups to confirm interest, pricing progress, and submission deadlines (via email)Provide weekly status updates and ensure subcontractors have all required information to quote effectivelyAdministrative & Business SupportProvide general administrative support across the business as requiredPrepare and submit weekly employee timesheets by gathering information directly from team members and sending them to the accountantAssist with document control, filing, and maintaining accurate recordsRequirementsEssential:Strong verbal and written communication skillsProficiency in Procore and Microsoft Office Suite (Excel, Word, Outlook)Highly organized with strong attention to detailAbility to follow processes, manage multiple tasks, and meet deadlinesPreferred (but not required):Experience with Xero or similar accounting softwareBackground in construction, engineering, or project administrationIdeal Candidate AttributesReliable, proactive, and resourceful with a strong sense of accountabilityAble to work independently with minimal supervisionConfident communicating with subcontractors and internal stakeholdersProcess-driven and comfortable working in a fast-paced environmentBenefitsHere at Access Offshoring, we believe in more than finding our clients the right candidate.
