As a Compliance Officer for our real estate client, your role is to...
Ensure the company functions in a legal and ethical manner while meeting its business goals. You will also be auditing documents and files to identify possible breaches and advise management on the company's compliance with laws and regulations through reports. Every now and then you will be responding to clients' queries regarding compliance matters, especially if rules are not being followed.
Some of the things we'd expect you to do for our real estate client are...
Track down all new/current listings for our client's offices by checking our business CRM and adding it to the master Corporate Compliance Checklist.
Audit files/documents during the new listing stage and record all possible breaches on our client's compliance Checklist.
Check properties a week after being listed, for missing solicitor details and send follow-up emails to agents.
Check properties before they go live online, to ensure the Statement of Information (SOI) is current. Send emails to agents if out of date.
Check properties regularly for changes to the sale prices and whether amended documents are saved in the client's property folder.
Check properties a week after the campaign starts, to ensure the vendor checklist and/or material facts are on file. Send follow-up emails, where appropriate. Record this activity in the vendor's timeline.
Prepare and send individual emails with the vendor checklist link to each vendor and record this activity in the vendor's timeline.
Check each property mid-campaign, for any changes to the live date and auction date/time, prices, advertising fees, or valid SOIs. Ensure all changes and necessary documents are updated and saved in our client's CRM software and the property folder.
Collate all breaches during this stage and send emails to agents listing all breaches for them to rectify before the property is sold.
Update the Compliance Checklist when agents respond with updated/missing documents and save the files in our CRM software and property folder.
Check current properties to ensure authorities are still valid. Send an email to agents requesting an updated/valid authority, if the authority has expired.
Check each property a week after it is sold to ensure all previous breaches are corrected, and all necessary documents sold are compliant and on file.
Record any uncorrected and/or new breaches and send an email with the list of breaches to agents. Update the Compliance Checklist once the agents respond with the required files.
Examine all sold properties under all three offices fortnightly and send a comprehensive compliance report (twice a month) to the compliance administrator for review/amendment.
Process new listings end-to-end, as required, and become the subject matter expert.
Compile and generate a weekly list of properties live online and post in Microsoft Teams.
Compile and generate a weekly list of rental estimates and post in Microsoft Teams.
Create rental appraisal letters for properties live online.
We would need you to be or have the following...
At least two years of administrative experience.
Proficient in MS Office, CRMs, and web tools.
Experience in compliance and/or related fields is preferable.
Thorough understanding of company standards in terms of following policies, procedures, administrative rules and practices.
Highly organised and above average attention to detail.
Capacity to work within deadlines.
Ability to easily adapt to changes in process with prudent execution.
Strong command of English, both verbal and written.
