Job Summary:
The Corporate Secretary plays a vital role in ensuring the smooth functioning of the company's administrative functions. Working closely with top-level executives and management, the Corporate Secretary holds comprehensive responsibilities to ensure business deadlines are met, maintains accurate records, and provides administrative support to the organization.
Responsibilities:
- Oversee and manage business deadlines, ensuring all required documents are submitted within specified timeframes.
- Maintain an up-to-date and accurate calendar, reminding executives and managers of meetings, appointments, and important events.
- Prepare meeting agendas, collate and distribute relevant documents, and record minutes of meetings.
- Assist in the preparation and filing of legal and regulatory documents, such as annual reports, financial statements, and licenses.
- Act as a liaison between the executive team and other internal departments, stakeholders, and external parties, ensuring effective communication and collaboration.
- Manage incoming and outgoing mail, emails, and phone calls, prioritizing and redirecting as necessary.
- Organize and maintain confidential files and documents, ensuring proper record keeping and data management.
- Perform any other duties as assigned by the executive team or senior management.
Qualifications:
- Bachelor's degree in business administration or a related field.
- Proven experience as a corporate secretary, executive assistant, or similar administrative role in a corporate environment.
- Strong organizational and time management skills, with the ability to multitask and prioritize effectively.
- Excellent written and verbal communication skills, with keen attention to detail.
- Proficiency in MS Office Suite and other relevant software applications.
- Discretion and integrity in handling confidential information.
- Ability to work well under pressure, with a proactive and solution-oriented approach.
- Strong interpersonal skills, with the ability to build relationships and work collaboratively with diverse teams.
