Job Description:
Key Accountabilities / Major Responsibilities
The Managed Fund Specialist will be expected to perform the following
Receive and action all authenticated client instructions for new applications and proxy voting in an efficient and timely manner.
Liaise with various Fund Managers to ensure fax instruction(s) received within deadline and in good order.
Maintain awareness of all outstanding instructions and ensure chased regularly at each stage of process.
Maintenance of Static Data Including instructing Security Setup.
Assist the Supervisor in the maintenance of all Key Risk Indicator, Key Practice Indicators and MIS and be involved in the resolution of outstanding issues.
Ensure stringent control procedures are adhered to and exceptions are escalated to Risk Management in line with agreed standards
Providing back up coverage to the rest of the Managed Funds teams during staff absence and peak volume periods.
Assisting with projects and new initiatives as and when required.
Assist with training and ad-hoc tasks as and when required.
Signoff checklists on a daily basis ensuring all items actioned, with sign off occurring throughout the day as necessary.
Effectively manage and respond to queries raised by Internal and External clients by COB daily.
In addition the Team Member is also expected to protect the clients' and Banks' interests at all times and ensure that their integrity is maintained within the market place. To ensure department procedures are maintained and internal processes can adapt to market/client demands. To maintain optimum service level for all clients ensuring any reasons for and proposed solutions to, negative trends are documented and escalated.
Supervise the intraday workflow
· Supervision of staff & managing workflow of the team to ensure that work is processed in an accurate and timely manner, ensuring no items miss cut off.
· Assessing work allocation, identifying area's of capacity during day & management of overtime within the team.
· Acting as first point of escalation for team members
· Checking and verification of all processing/output & recording and feedback of all incorrect items provided for review.
· Review the accuracy and ensure timely completion of all transactions posted into Accounting and Custody platforms.
· Review the accuracy of Security Setups and Static Data
· Instruct and Receipt of all UUT & PEUT income including, but not limited to Applications, Redemptions, Distributions, Management Fees prior to deadline and within current benchmark respectively
· Reviewing the accuracy of Price Calculations prior to submitting to FDQ/A
· Reviewing and Monitoring of Monthly Unit Fund Manager Reconciliations
· Monitoring Group Email box
· Review of daily Checklists
· Provide holdover log and management reporting of in-flight transactions
· Process / Review the accuracy of static data
· Oversight of all cash and asset breaks to ensure they are being cleared within current benchmarks on a daily basis, analysis of breaks and identification of actions required minimise re-occurrence, providing guidance to staff where required to ensure a quick resolution is obtained.
· Analyse and implement efficiencies within the team
· Ensuring all controls and JP Morgan requirements are adhered to at all times and any risk items escalated immediately.
· Update of Standard operating procedures and Service level agreements, and monitoring to ensure adherence to them by all staff.
· Comply with audit and compliance regulations and be a point of contact for external and internal auditors
· Provide input into management of team projects, system enhancements, end to end process reviews
· Effectively manage and respond to queries raised by clients and delegate responsibilities to other team members where necessary
· Ensure up to date training is completed on processes and procedures as and when required

Staff Performance requirements
· Be accountable for ensuring individual performance objectives and development are met and that quarterly reviews are conducted with immediate manager
· Ongoing coaching of existing team members including the initial (6 month) induction process.
· Identify area's where cross training is required, and assist with training of new starters
· Support and engage staff to deliver on and drive projects & initiatives, either independently (with approval) or when required by the manager
Key risk and control environment compliance
· When required, be involved in the Self Assessment Testing (SAT's)
· Review current processing to ensure all controls maintained and up to date to fit with the current tasks.
· Responsible for ensuring review and update of all current Standard Operating Procedures (SOPs) and Service Level Agreements (SLA) is completed on a 6 monthly basis, obtaining sign off by all team members that they have read and understood the procedures
· Assist in collation of statistics including Key Risk Indications (KRIs).
· Effective communication & escalation of all issues, and ensure that these are understood by the team where required.
Qualifications/Experience/Knowledge
General Knowledge and Experience Required:
· Minimum 4 to 5 years banking, custody or processing experience in particular experience and understanding of Unit Trusts / Private Equity and Custodian work.
· Ability to manage workflow and meet deadlines.
· Sound knowledge of Financial Markets
· Basic understanding of Accounting and Taxation principles
· Understanding of custody mainframe systems beneficial, Understanding of custody processes and workflows beneficial
Formal Qualifications:
Tertiary qualification preferable but not necessary.

Special Requirements
· Ability to work early morning shift starting 5 AM IST
· Ability / willingness to work overtime at short notice to ensure the daily completion of team workload, including public holidays
· Ability / Willingness to work weekends where required to facilitate incident / crisis processing.
