Reporting to: Branch Finance Supervisor
Role: 7 months Fixed Term Contract
WHAT THIS POSITION IS ABOUT - PURPOSE
Responsible for timely and accurate reporting of daily transactions of each assigned sales representative. Works with the Branch Finance Supervisor in monitoring sales representatives' compliance to established policies and procedures. Documents exceptions as they are detected.
WHAT WILL YOU DO - RESPONSIBILITIES
Transaction Reporting
Daily transactions made by sales representatives are recorded timely, completely, and accurately. Associate will:
Check with manual accountable forms for consistency and accuracy against the recorded transactions in TME Lite.
Ensure completeness of recorded transactions in TME Lite and manual documents. This pertains to all sales, returns, collections, and marketing programs transacted by the sales representatives on behalf of the Company.
Validate that manual accounting documents like invoices, memos, receipts, and liquidation forms, if applicable, are properly filled out and signed in accordance with established policies and procedures, statutory requirements, and project briefs.
Ensure collections recorded in TME Lite and manual documents are deposited correctly and completely by checking validated deposit slips and transactions in bank statements.
Validate that the details of transactions are properly inputted by the sales representatives in accordance with established policies and procedures, project briefs, and memos.
Document any discrepancies noted by issuing Notice of Exceptions and Route Settlement Exception Summary as necessary.
Ensure all sales representatives are route settled according to their set schedules especially during month-end.
Create back office adjustments for variances and transactions as they arise. Such adjustments shall be made guided by the established procedures and workarounds as necessary.
Manual Accountable Forms Monitoring
Incumbent is responsible to:
Ensure completeness of used and returned accountable forms such as invoices, memos, and receipts.
Monitor issuances and receipts of accountable forms in compliance with Company standards and policies.
File and store used accountable forms properly for easy referencing.
File and store other forms like NOEs, RSESs, RICMs, and CMUFs as applicable.
Customer Masterdata Management
Incumbent is responsible to:
Ensure new outlets created by sales representatives have the necessary supporting documents before approval.
Validate the information inputted by the sales representatives upon creation is consistent with the supporting documents before approval.
Reject new outlets with incomplete details and supporting documents in a timely manner according to Company policies.
Call Validations
Associates are required to validate outlet details, transactions, and balances through daily calls as prescribed in the DSO Policies. These calls will be documented using a standard template. Any indications of fraudulent transactions should be raised in a timely manner.
WHO ARE WE LOOKING FOR - REQUIREMENTS:
University degree in Finance, Accounting, Economics or its equivalent.
At least 1-year experience in Finance
Fluent English and Tagalog are essential
Sound financial acumen, including an understanding of accounting principles and financial controls.
Good understanding of integrated systems (e.g. ERP).
High level of accuracy and attention to detail.
Proficient in MS Office, mainly Excel (Functions / Formula), Word, and PPT
