ROLE SUMMARY
Our client is looking for an Administrative Coordinator, who will support their bookkeeping and tax departments in various administrative tasks, including client communications, tax filing support, billing support, shared file maintenance, preparing documents, calendar and email management, scheduling, and other general support. This individual is highly detail-oriented, capable of handling all the small details to keep the department moving, and can work closely with all department team members and managers.
This is a technology-savvy individual who has a firm grasp of common communication tools. Process-oriented, this individual should be capable of stripping the complexity out of the department by streamlining processes and improving efficiency.
SCHEDULE: 7 AM - 4 PM Mountain Daylight Time (9 PM - 6 AM Philippine Local Time), follows Philippine holidays
POSITION TYPE: Full Time
WORK ARRANGEMENT: Permanent Work From Home set-up
ESSENTIAL FUNCTIONS
Assist the tax team with tax return delivery communications to clients
Ensure tax return e-filing to IRS and States are transmitted and troubleshoot any issues
Support various billing communication and reconciliations to internal and external clients
Communicate and follow up with clients on various bookkeeping and tax-related topics
Assist the onboarding team with various Salesforce and Clockify record-creation tasks
Help create various documents for department team members
Maintain and update departmental records, documents, and reports
Aid various department team members and managers on their administrative tasks
Use various software, including word processing, spreadsheets, databases, and presentation apps
Assist with project management by creating/standardizing processes and managing tasks
QUALIFICATIONS
A bachelor's degree focused on accounting is preferred
2+ years in an executive assistant role with a track record of successfully supporting executives with preparing documents, calendar and email management, scheduling, and other general support
2+ years working in a role supporting executive with client communication including coordinating with other departments
2+ years of experience showcasing the nature of work that involves understanding, researching, analyzing, and solving problems of various complexity
Expertise in creating various documents and maintaining departmental records, documents, and reports
Experience with reconciliation is a plus
Experience with QuickBooks and related software tools
Proficient in Microsoft Office applications with emphasis on Excel and database skills
Experience with Salesforce and Clockify is an advantage
Excellent phone, email, and instant messaging communication skills
Ability to work independently and utilize critical thinking skills to work in an autonomous nature to move forward deliverables in a timely manner
Ability to manage multiple projects and deadlines
Outstanding organization and time management skills to manage multiple tasks
Exceptional attention to detail and follow-through
