We are actively seeking a dedicated and experienced Account Manager/Bookkeeper to join our dynamic team. In this critical role, you will provide essential back-office support to our management team, handling a wide array of responsibilities. This includes transforming incoming quotes into estimates within QuickBooks, calculating appropriate markup percentages, invoicing, and processing bills to vendors. The ideal candidate must possess strong communication skills and an unwavering ability to follow an outlined process.

Monday to Friday | 8 AM to 5 PM EST

Responsibilities:
QuickBooks Management:
·Foundational understanding of QuickBooks.
·Imputing and Processing estimates, invoices, and billing within QuickBooks.
·Utilizing a step-by-step guide of processes.
Estimation and Invoicing:
·Turning incoming quotes into estimates with appropriate markup added.
·Creating invoices with structured payment terms, such as 50% payment deposit due and 50% payment due upon completion.
Vendor Billing:
·Creating invoices and billing vendors upon project completion.
·Ensuring proper documentation like photos, receipts, etc., is uploaded into the file before payment.
Software Adaptability:
·Ability to learn multiple billing software, including Appfolio and Single-Ops.
·Integrating other key systems across our companies.
Attention to Detail and Compliance:
·Following detailed processes and guidelines.
·Ensuring accurate calculations, including margins.
·Meeting deadlines with strong organizational skills.
Qualifications:
·Experience: At least 3 years of relevant experience in account management or bookkeeping.
·QuickBooks Experience: Foundational experience in QuickBooks is essential.
·Adherence to Processes: Demonstrated ability to follow outlined processes to ensure consistent and effective account management.
·Learning Agility: Ability to adapt and learn new system processes with ease.
·Self-Motivated: Capability to accomplish daily tasks independently once onboarded and trained.
·Attention to Details: Strong focus on accuracy in billing and deadlines, coupled with exceptional organizational skills.
