Job Responsibilities:
Producing Portfolio Reviews and documents for assessment in preparation for client meetings with the use of financial planning software program (specifically, XPlan). This will involve:
Inputting data provided by a manager in the financial planning software
Reviewing the data in the financial planning software to ensure it is accurate
Generating and compiling reports from the financial planning software
Using the financial planning software to prepare other documents
Assisting in administration tasks for client meetings and on an ongoing basis (e.g. account applications)
Managing data in a financial planning software & CRM (Salesforce), including:
Setting up new clients and related information into the software
Updating investment & insurance information in the financial planning & CRM software on a regular basis
All administrative processing & workflow management
Admin team coordination
Database maintenance
Proactively work with internal and external business units to anticipate administrative requirements and deliver to deadlines.
Support the end-to-end processes associated with administration, on-boarding processes, drafting correspondence, completion of tasks where required
Data Entry in CRM - adding new prospects & updating existing clients
Data entry into FP system
Assist to prepare for client meetings & reviews - Draft ROA & SOA, complete application & consent forms, collate reports. Submit & follow up on applications post meetings
Communicating with clients - email or phone (from time to time)
Super and Insurance research, quotes policy changes - contacting third parties
Product comparisons
Collate supporting documentation
Setting up super funds, investment accounts and initiating rollovers
Managing SOAs and Fixed Term agreements
Preparing invoices and following up to payment
Requirements
Bachelor's degree in Finance, Commerce, Business or Accounting
At least 1 year(s) of working experience in the related field is required for this position.
Intermediate skill level using Microsoft Office software including Word, Excel and Outlook
Demonstrated ability to work independently and pro-actively.
Preferred experience with Financial Planning Software, namely XPlan
Preferred experience with CRM Software, namely Salesforce
Preferred experience working with Australian clients
Must have excellent written and oral communication skills
Must be highly engaged, focused, and data driven, and must be approachable and professional
