Job Description:
Primary Responsibilities
Responsible for compiling, producing and distributing monthly vendor management reporting
Provide monthly/quarterly trends, insight and analysis of supplier performance
Lead quarterly business reviews (QBRs) with suppliers to review period performance; work with Product Owners and Project Execution to establish agenda
Work with suppliers to improve service delivery metrics; monitor, address and escalate significant service issues with suppliers
Identify opportunities and promote solutions to reduce the number of service jobs
Ensure suppliers meet contract requirements: certifications, financial rebates, insurance, licenses, identification and use of subcontractors, compliance with cyber & data destruction
Work with suppliers and internal teams to identify and resolve system/process/payment issues
Prepare annual service & maintenance expense plan for Technical Security
Oversee creation of supplier purchase documents to fund service requirements within budgetary guidelines; track request through approval life cycle
Ensure supplier purchase documents are current with latest part numbers and contract pricing; update as required
Validate invoices against purchase documents, job detail, pricing and contract terms; approve/reject as appropriate; review and resolve rejected/escalated invoices with suppliers
Partner with Finance to track supplier expenditures; monitor monthly expenditures for variances; approve accruals
Identify and pursue opportunities to control and reduce costs with suppliers
Partner with Product Owners to maintain integrity of service ticket database; identify issues and develop action plans to remediate
Produce and distribute weekly/monthly supplier open jobs report
Manage preventative maintenance program for Technical Security
Partner with suppliers, Regional Security and Global Security Managers to establish annual Inspection Schedule
Work with Product Owners to establish criteria, supplier inspection process and inspection form; revise as necessary
Monitor and report on monthly completion of Global preventative maintenance inspections to established schedule
Address service issues identified through inspection program: batteries, tampers
Provide oversight and guidance of Technical Security sworn document compliance
Serve role as "Signer" for all sworn documents processed by Technical Security
Candidate Requirements
4+ years management experience, preferably in Technical Security, with strong understanding of security devices, equipment and systems
Experience in Finance, Accounting and budgeting
Experience in operations, business processes or organizational design and related change management activities
Strong analytical capabilities and attention to detail; capable of synthesizing and summarizing complex data or findings to drive decision making
Proficient in Microsoft Office - Word, Excel, MS Access, and PowerPoint
Strong organizational and time management skills
Ability to demonstrate personal initiative, ownership, and accountability
Effective interpersonal, relationship building and influencing skills
Strong verbal and written communication skills; ability to understand and explain processes
Able to work in a fast paced, results driven environment
