Position Summary:
The Project based, Crew Readiness will be responsible for all aspects of onboarding process; the distribution of work may vary based on relevant skills, experience, and business need or as otherwise determined by management. However, in any case, the coordinator should maximize his/her time for efficiency and effectiveness to help the Employee Experience team in all aspects of the onboarding processes to achieve weekly/monthly/quarterly/annual goals.
Essential Duties and Responsibilities:
The point person and authorized POEA Recruiter to conduct recruitment activities (Job Fair, Open House and off site Events) and coordinating with other government agencies (PESO, City Hall)
Sourcing and screening of all Filipino Applicants (CTRAC, LinkedIn, Jobstreet)
Point of contact for all Filipino Applicants to be processed/hired for all positions
Screening and coordinating with all Filipino Referrals
Coordinating the Principal Interview schedules for the respective recruiters
Coordinating Job Advertisement posting to different job portals with the Comms Team
Responsible in following up of offer acceptance, completion of Personal data form, rejected personal data form and uploading of valid passport for Hiring Partners and Direct hires
Assisting new hires who do not have LOEs for their concerns and inquiries. Keeping them warm until confirmed assignment has been received
Assist in Brand Transfers by calling selected candidates to advise them of the transfer and reason of changes (salary, contract length, brand, job title and joining date - if any), creating Jira ticket to revert the offer and coordinating with data entry to update job code once new offer has been accepted
Responsible to assist in completing the candidates C-TRAC Application if needed and extending support during Open House Recruitment Activities in Mobility Centers (crowd control and interviewing applicants for specific openings)
Ensures Talent Pool and E1 Gap pool data are accurate by updating the status codes in C-TRAC and E1.
Record data for each interaction with applicants via C-TRAC (RCL employment system)
Assist Recruiter for Special Projects/Recruitment Event (e.g. Lifeguard Hiring, AZA trade test)
Assigning candidates to the respective Recruiters for processing and sending of offer letters if and only necessary or as per instruction by Recruitment Manager
Create E1 ID numbers of new hire shipboard employees and ensure all information is accurate in the system
Provides timely and customer-focused service to new hires and internal customers
Ensures each new hire receives receive general orientation and the most positive and expeditious onboarding experience
Liaises with Recruitment, Crew assist, Schedulers, Visa team, Port Agents, School, Authorized Referral Sources and RCM when appropriate, to ensure hiring and scheduling needs are met in a timely manner
Validates and monitors all new hire documents before they join the ship and ensures all information is being updated in E1
Under the guidance of his/her Supervisor, ensures he/she has the latest information related to visas, medical, STCW and other formal requirements of shipboard roles
Works diligently to resolve all onboarding related situations and escalates any irregularities to the Supervisor, New hire Onboarding; consistently tries to increase efficiency and effectiveness
Performs all administrative and documentation tasks related to the onboarding of shipboard employees
Consistently meets the performance metrics set by the management team
Responsible in Medical Credentialing of MD and RN new hires
Performs other duties as required. As needed, participates in special projects assigned by management

Qualifications, Knowledge, and Skills:
Bachelor's degree in human resources, hospitality management, business administration, or related field from an accredited college or university or the international equivalent preferred
Minimum two years of recruitment/cruise industry experience; proven ability to source, interview, and screen candidates (including management candidates for senior positions) - preferably for shipboard positions
Minimum of 1 year of administrative related experience. Previous experience in the cruise industry highly preferred
Must be available to work a flexible work schedule (night shifts, as required)
Exceptional oral, written, and interpersonal communication skills in the English language
Incredible focus on superior customer service to internal and external clients and an innate desire to go above and beyond to achieve excellence
Strong problem -solving ability and tenacious follow-up skills
Ability to accurately and articulately document information; extraordinary attention to detail
Working knowledge of computers and desire to work with new and innovative technology
Ability to acquire knowledge of general shipboard functions on a cruise ship, and the general concept of the shipboard organization. Familiarity of world geography and time differences
Ability to productively work under tight time constraints and stressful situations
Knowledge of automated human resource systems preferred
An ability to handle sensitive and confidential information
