Coordinate executive communications, including taking calls, responding to emails.
Schedule meetings and appointments and manage travel itineraries
Coordinate travel arrangements; prepares itineraries; prepares, compiles and maintains travel vouchers and records
Arrange meetings with contractors/subcontractors/ suppliers/ customers and officers
Prepares minutes of the meeting
Maintain and organized filing system of hard copies and electronic documents
Uphold a strict level of confidentiality/ Manage Personal/Private matter with high confidentiality
Develop and sustain a level of professionalism among staff
Coordinates office management activities
Determine matters of top priority and handle accordingly
Relay directives, instructions and assignment to executives
Does research and validate data
ADMINISTRATIVE FUNCTIONS
Handles contract agreements by reviewing and recommending revisions, as necessary
Acts as the point person for correspondences and interaction among executives, clients, brand ambassadors, and employees
Plans and coordinates daily calendars/appointment and events of the immediate head
Manages all executive phone calls and emails
Facilitates internal communication and may be tasked to prepare a presentation as necessary
Maintain hard copy and electronic filing system
Evaluate suppliers based on price, quality and delivery speed.
Job Qualifications
Graduate of any Business/ Management/Financial/ Secretarial courses
Preferably with minimum of 2 years of professional experience as an Executive Assistant reporting directly to the GM/ CEO
Solid experience in office management systems, to include above average proficiency in MS Office or other organizational tools to manage executive schedules and over-all company events and requirements
Excellent verbal and written communication skills; and can compose effective and powerful correspondences
Proficiency in collaboration and delegation of duties
Experienced in exercising discretion and can handle confidential and sensitive company and customer information
Background in handling contract agreements with suppliers and brand ambassadors is an advantage
Can work independently, think proactively and puts high regard on the value of timelines and deadlines
Schedule:
8 hour shift
Supplemental Pay:
13th month salary
