Administrative Supervision

2. Administers the conduct of planning, implementation, monitoring
and evaluation of the Division's performance in accordance with
the Authohab Group Performance Management System (PMS):
Performance Planning
Facilitates the conduct of annual Operation/Business Planning in the division.
Consolidates the division's Annual Plan and Budget for GM's Approval copy furnished Corplan;
Ensures that all division personnel prepare their individual Performance Commitment Plans to support the attainment of the Division targets
Performance Monitoring
Keeps track of the division's work progress and institutes corrective actions or remedial measures to address bottlenecks in operations and ensures the attainment of the division's targets;
Ensures the timely submission of the division's Accomplishment Reports to GM copy furnished Corplan for presentation during MANCOM meetings;
c. Performance Evaluation
Facilitates the conduct of division's performance evaluation
Ensures the timely submission of the division's Quarterly Performance Evaluation Report to GM copy furnished Corplan for presentation during MANCOM Performance Evaluation Meeting and Operational / Business Planning Sessions; and
Evaluates performance of immediate subordinates and submits accomplished Performance Evaluation Forms on set deadline
Administers the proper implementation of the AUTOHUB's Meeting Management Guidelines in the division:
Conducts regular division meetings and ensures that the agenda and required materials are prepared before the meeting
Presides over division meetings and ensures that a Secretariat is assigned to document the highlights and agreement in the meeting;
Monitors the implementation of meeting decisions/ agreements
Oversees the division's strict adherence to AUTOHUB/ company policies, systems and work processes and institutes disciplinary action, when needed within his level of authority;
Ensures the proper management of resources acquired and/or assigned to the division;
Recommends the appropriate organizational design of the After Sales Division based on actual work requirements and in line with the structural standards of the plant and AUTHOHUB and prepares/ submits the following for GM/EXECOM approval in consultation with HR/TOD:
After Sales Division's Organizational Structure and functional Chart, and
Job Designs of After Sales Division's plantilla positions
Promotes the welfare and development of division personnel:
Facilitates the creation of a work environment that is safe or hazard-free and is conducive to productivity;
Recommends the hiring, movement and salary adjustment of division personnel to GM for endorsement/ approval; and
Recommends/ introduces/ supports employees' welfare and development initiatives for division personnel
Support organization development initiatives:
Implements/ supports AUTOHUB culture building activities
Facilitates the development of a cohesive and high performing After Sales Team
Ensures that all instructions of the GM and the President as well as all decisions/ agreements in MANCOM and synergy meeting involving the division are carried out on time
Prepares memos/ communications / reports on division matters and acts requests/ concerns within his authority level
Aftersales Management * Ensures the profitability of after sales operation:
Gathers and analyzes relevant environmental data (internal & external) to serve as inputs in business recommendation/ decisions;
Prepares service forecasts using various techniques;
Formulates creative and innovative strategies to attain after sales targets;
Conducts periodic market analysis and recommends repairs and maintenance pricing which is competitive or at par with the prevailing rate in the industry;
Ensures that division expenditures are within approved budget;
Introduces cost saving and cost reduction measures;
Monitors and analyzes repair order trends (number of repairs received, timeliness of completion, cost per type of repair order, etc.);
Ensures that parts and accessories are properly managed;
Provides direction in the development and implementation of effective service marketing programs/ strategies that will increase the revenue of after sales
Oversees the operational efficiency of the division:
Ensures the establishment of efficient work methods and processes that are compliant with plant requirements and standards and are facilitative of service delivery in the following areas:
Service (i.e workshop operation, body and paint, reception/ customer handling/ customer satisfaction, service marketing)
Parts (parts acquisition, inventory and control, warehousing, release and distribution, material custodianship)
After sales administration (warranty administration, documentation/ reportorial compliance with AUTOHUB/ company requirements, billing and collection, documents processing and tracking, transactions' evaluation/ endorsement)
Institutionalizes internal controls in all areas of after sales operation;
Ensures that all audit findings are complied with
Oversees the equality of workload distribution in the division and ensures that the working hours on individual employee is maximized and used productively towards the attainment of desired results
Oversees the provision of excellent after sales service to customers:
Ensures that the Service Department consistently adheres to the principle of fixing the vehicle right the first time and responding to the needs of the customers appropriately and on time;
Works in partnership with Sales, Customer Relations and Marketing to ensure the efficient and effective delivery of complimentary services to customers
Oversees timely warranty claims processing and systematic monitoring of collection and payments of AFTER Sales services
Directs the sustained competency building of after sales personnel through active participation/ attendance to relevant company organized and plant sponsored training programs and division initiated training activities
Ensures compliance with plant requirements and standards on after sales
Addresses operational issues and concerns and elevates to GM those which cannot be resolved at his level
At least seven (7) years of relevant experience, five (5) years of which are in a managerial capacity
Strong customer service orientation
Professionalism (objective, fair, observe work ethics, level-headed)
Mid-Senior Level / Manager Sales and Marketing Automotive 1 opening Bachelor's degree graduate
