JOB PURPOSE
 
Good Cup Coffee's Administrative Staff is responsible for performing a range of administrative and clerical tasks to support the efficient operation of an office or organization. They assist in daily office needs, manage general administrative activities, and ensure smooth workflow across different departments.
PRIMARY RESPONSIBILITIES
General Office Support:
Answering phone calls, emails, and correspondence.
Greeting and assisting visitors, clients, or customers.
Preparing and distributing internal communications, such as memos or reports.
Managing office supplies, ensuring inventory levels are maintained, and placing orders as needed.
Data Entry and Record Keeping:
Entering data into company databases or systems.
Maintaining and organizing electronic and physical files and records.
Assisting with the preparation of reports, presentations, and documentation.
Scheduling and Calendar Management:
Scheduling appointments and meetings for managers or staff.
Coordinating conference room bookings and office events.
Arranging travel itineraries and accommodations for employees.
Clerical Duties:
Filing documents, both electronically and physically.
Photocopying, scanning, and mailing documents.
Handling incoming and outgoing mail and packages.
Financial and Invoice Management:
Processing invoices, purchase orders, and expense reports.
Assisting with payroll or other basic financial tasks.
Managing petty cash and reconciling payments.
Liaison and Coordination:
Acting as a point of contact between departments, staff, and external parties.
Coordinating with vendors, suppliers, and service providers.
Assisting with HR-related tasks such as organizing employee records and handling onboarding paperwork.
