Job Responsibilities:
Technical Competencies: Service Delivery, Procurement, Inventory Management and Stock Control, General Office Administration, Accounting for Assets, Liabilities and Shareholder's Equity, Revenues and Expenditures
Office/Site Management
Oversees/supervises the general office administration and upkeep, which includes:
Lease arrangement (office and parking);
Office housekeeping requirements;
Use and maintenance of company motor vehicles;
Security and regular maintenance of company assets;
Office facilities, equipment and services;
Phone lock security (landlines);
Aircon management and control;
Door access; and,
General clerk services.
Supervises the quarterly general cleaning of the office;
Responsible for the application of mobile lines for authorized employees;
HR Support
Prepares monthly remittance of and related reports on GSIS, Pag-ibig and Phil health and ensures they are remitted on time. Acts as liaison officer (agency point person) for GSIS, Pag-ibig and Phil health;
Treasury
Prepares, releases and monitors issued and cancelled checks. Coordinates proper reviews and signatures to ensure that checks are released on time;
Handles the petty cash fund and its regular replenishment; Maintains proper documentation for petty cash fund releases, ensuring that each transaction is allowable and is authorized;
Ensures the petty cash bond is regularly renewed;
Coordinates with the banks in ensuring proper and timely placements of excess cash, ensuring the best yields in allowable investment instruments;
Responsible for maintaining good bank relations;
Acts as alternate check signatory and authorized personnel to confirm issuance of checks, withdrawal of accounts and other activities pertaining to the account maintained with the depository bank branch;
Ensures proper application and timely renewal of Fidelity Bond of authorized employees;
Procurement Support
Oversees the procurement of common use supplies, goods and other items such as equipment in accordance with the Procurement Law;
Responsible for the proper storage and issuance of office equipment, supplies and materials.
Ensures complete and prompt updates of records establishing accountabilities of asset custodianships
Travel Management
Coordinates travel arrangements for official/business trip of employees providing 3 quotations for airfare and accommodation rates
Property Monitoring
Ensures proper procedure in the receipt, acceptance, issuance and custody of supplies, materials, equipment, inventories and fixed assets;
Ensures proper procedure in the physical inventory of assets, supplies and materials owned by the Corporation;
Responsible for the establishment and safekeeping of administrative records and files;
Others
Prepares correspondence in the course of official duties;
Oversees the arrangement of office venue and preparation of meals during meetings, training and other in-house events; and,
Provides essential support to the management when required.

Experience:
At least 3 years of relevant experience

16 hours of relevant training
