Job Summary:
Facilitate and provide support to the day-to-day administrative and operational needs of the company.
Role Responsibilities:
Admin: * Perform daily administrative tasks such as attending meeting related to current projects, and preparing presentations and internal reports.
Regularly research articles and news about current projects or topics.
Provide administrative support to the Project Development Head.
Do field work when necessary.
Operations: * Facilitates the negotiation between the Management and the brokers/potential clients.
Prepares the lease proposal/offer to buy and collates all documents needed for the due diligence.
Ensure that all due diligence documents needed prior to the signing of contract to sell/deed of sale are available and complete.
Develops and maintains an ongoing client's retention program by handling their requests and complaints.
Responsible for the proper and updated files of the clients and properties.
Aggressively network and provide commercial unit vacancies to affiliated brokers.
Regularly conduct site visits of commercial units available for lease and for sale.
Assist prospective clients with site visits and viewing of available spaces for lease.
Report to the Managing director and Properties Team tenants' concerns and questions about the property.
Perform Move-in and Move-out inspections according to company policies and procedures.
Responsible for contracts monitoring and facilitating the renewal process of tenants.
Follow-up with tenants' outstanding balances and issues demand letters for delinquent rent.
Maintain client confidentiality regarding all business matters.
Help in supervising and evaluating assigned team members from the Property Management Team.
Monitors the checks for release to the suppliers, service providers, commissions, and refund in coordination with Accounting.
Bachelor's degree in any Business course
At least one year of experience in an Admin or similar role
Background in real estate, commercial leasing, or infrastructure industry is a plus
Exceptional organizational skills
Willing to do field work when necessary
