This position requires someone who can work independently, maintain strict attention to detail, and communicate clearly with both internal teams and external partners.Key Responsibilities:Contract ManagementPrepare and update client and vendor contracts using established templatesCoordinate contract execution through electronic signature platformsMaintain organized filing systems for signed agreements and related documentationTrack contract status and follow up on pending signaturesFinancial AdministrationGenerate and send invoices to clients via QuickBooksProcess incoming vendor invoices through for payment approvalMaintain accurate records of all financial transactionsReconcile payments and update account statusesCommunication & SupportRespond to internal team questions regarding contract and payment statusHandle external inquiries from clients and vendors about invoicing and paymentsEscalate complex issues appropriately while resolving routine matters independentlyProvide professional, timely communication across all channelsQualifications:
2+ years of administrative experience, preferably in contract management or accounts payable
Proficiency with QuickBooks and (or similar platforms)Experience with electronic signature software (DocuSign, Adobe Sign, or equivalent)Strong written and verbal communication skillsExceptional organizational skills and attention to detailAbility to handle confidential information with discretionComfortable working independently and managing multiple prioritiesIdeal Candidate HasA proactive approach to problem-solvingProfessional demeanor when interfacing with clients and vendorsExperience in an agency, professional services, or similar fast-paced environmentFamiliarity with contract terminology and basic accounting principles
