Job Description
I. MAJOR RESPONSIBILITIES AN DUTIES
Prepares and submits all payment related documents such as requests for payment, monthly performance fees, cash advances, cash liquidation and others by maintaining constantly updated trackers and effective communication with the production manager and director as well as liaising with other relevant departments.
Ensures the proper execution of all contracts between Creative Entertainment and other parties such as artists, vendors or other services by drafting, submitting and routing all necessary documents while respecting Company's SOP's and maintaining a close and effective relationship with all relevant parties.
Organizes and safe keeps all Creative Entertainment documents by maintaining all soft and hard copies organized accordingly in order to provide effective and easy access whenever needed.
Assists with the expatriation of the In-house performers by sourcing flights, sourcing accommodation, facilitating the acquisition of governmental documents, tracking VISA status and any other procedure that may be contractually required in order to ensure the high standards that the Company implements whenever engaging with Expat artists.
Performs a clerical administrative duties such as scheduling and administering meetings and appointments, creating minutes of meetings, providing company updates in order to ensure the exceptional departmental's workflow.
Ensures that all fundamental office related supplies are in place by keeping an up to date inventory and raising purchase requests whenever necessary as well as assisting other sections such as the Technical Supervisor and the Costume Coordinator with performance related consumable items purchase requests.
Performs other duties and responsibilities that may be assigned by the Management.
II. JOB SPECIFICATIONS
Educational Requirement:
Bachelor's Degree of any course or equivalent professional training
Experience Requirement:
At least 2 years of administrative experience
Technical Skills:
Proficient in Microsoft Office applications
Knowledgeable in computer trouble shooting and networking
Proven track record with an emphasis on operational excellence and continuous improvement
Excellent communication skills
Other Qualifications:
Excellent analytical and organizational skills
Problem solving and self-starter skills
Discreet Reporting skills
Fluent in both oral and written English
