KEY FUNCTIONS/DUTIES AND RESPONSIBILITIES:
GROUP ADMINISTRATIVE SUPPORT
Provides administrative support to the departments by facilitating documentation and approval of the following:
a. Travel Forms
b. Budget requests
c. Necessary logistical and documentary support
Responsible for setting regular team meetings and ensuring that the issue tracker and agenda are updated regularly
Provide and ensure functionality of meeting logistics such us projector, laptop, venue, WiFi, snacks (as needed), etc.
Serve as primary contact for interdepartmental tasks and corporate initiatives
Monitor, process and implement mobile plan procedures and billings across all hotel issued plans
Monitor and process administration of corporate credit card/s
OFFICE SUPPLIES AND DOCUMENT MANAGEMENT
Prepare right forms such as RFP, ITSR, Transmittal slip, etc. to ensure proper documentation of files to be processed
Route documents to various department heads to make sure all signatories have signed the documents for processing
Monitor routed files using transmittals, receiving copy, logbook, etc. to avoid delays in processing documents
Safekeep, request and monitor office supplies and equipment as needed by the department
Ensure proper record retention and archiving of departmental documents
ACCOUNTING SUPPORT
Oversee monitoring and ensure updates on property CAPEX
Act as back up for SMS - Contracts facility
Oversee the SMS - JO facility
EXECUTIVE SUPPORT
Extend support as office liaison and point person of VP for Business Planning and Finance to subsidiary heads and other key partners in undertaking special projects and Management reports.
Assist in the networking requirements of the AVP - Accounting and Controllership and/or departmental leaders as needed
