About The Role
One of our clients is looking for a dynamic, tech-savvy Administrative Assistant with excellent communication skills to join our team.
The administrative assistant role is to provide administrative support to the executive assistants' team. The administrative assistant is responsible for coordinating projects, preparing reports / presentations, and assisting by performing a variety of administrative tasks, to ensure the efficiency of the overall business by ensuring all assigned administrative duties are carried on timely and efficiently.
Responsibilities
Provide day-to-day administrative support to the EA team and other executives as needed.
Manage calendars by scheduling internal/ external meetings, coordinating all business travel arrangements and events
Compose and prepare correspondence; sort and organize incoming mail
Assist in preparing reports and presentations.
Record, transcribe and distribute minutes of meetings at request.
Be responsive to emails and phone calls, with occasional contact outside normal business hours
Conduct research as needed for various projects via local resources, social media sites and search engines
Be highly professional in dealing with guests and investors.
Personal attributes
Excellent organizational, communication, planning and time management skills.
Excellent written and verbal communication skills.
Strong analytical skills and attention to detail.
Integrity and confidentiality.
Job specific requirements
Minimum of 2 years of experience working as administrative assistant/ client service industry.
We are looking for a proactive and self-motivated team member with a strong can-do attitude to join the company.
The candidate must be organized, detailed oriented, possess excellent communication skills, able multitask, and have prior administrative experience supporting large group. Previous event planning experience is a plus.
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, One Drive).
