Job Summary:
System Soft Technologies is seeking a purpose-driven, self-motivated Administrative Assistant to provide administrative and general business support for System Soft's global operations. The Administrative Assistant will play a key role in handling a variety of functions to ensure that operations and internal and external stakeholder needs are effectively met. This is a full-time, on-site opportunity.
Responsibilities:
Manage office administration operations, including ordering supplies and equipment, daily mail/deliveries, and opening service requests for the Manila office.
Assist in the preparation of regularly scheduled reports, presentation materials, and other employee documentation, as needed.
Manage and maintain paper and electronic data records with the area of responsibility in accordance with established procedures, to ensure swift and easy data access as required.
Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.
Creates, composes, and edits technical and/or administrative correspondence and documentation; prepares a variety of technical policies reports, letters, memos, and other written correspondence and materials.
Assist with the procurement process, including the creation and regular audit of Sales Orders and Purchase Orders
Respond to questions and requests for information
Assist colleagues with administrative tasks or performing ad-hoc administrative duties.
Event coordination and planning for both local and international office locations.
Completes special projects and tasks, as assigned
Assist with and create FedEx shipping labels as requested
Attend and participate in workshops, seminars, etc., in-service educational classes and on-the-job training programs as directed.
Assist with expense reports processing, including, but not limited to: verifying legitimacy of expenses, expense report reconciliation, and processing reimbursement requests.
Other duties, as required
Qualifications:
A minimum of 5+ years' experience working in an administrative capacity
Excellent organizational skills
Ability to develop and maintain effective relationships with internal and external stakeholders in order to provide high quality support service
Ability to maintain confidentiality
A bachelor's degree or equivalent experience
Proficiency in Microsoft Office Suite is a must, specifically in MS Excel, Word, and PowerPoint.
Excellent verbal and written communication skills in both English and Filipino
Multitasking and time management skills, with the ability to work independently and ability to prioritize tasks in a fast-paced environment.
