What You Will Achieve
This role will contribute towards the goals and objectives of the team. The colleague's innovative use of communication tools and techniques will facilitate in explaining difficult issues and establishing consensus between members of the team. This role will enable HVG colleagues to focus on achieving new milestones and help patients across the country.
The H&V and Growth Initiatives (HVG) Administrative Assistant will primarily support the HVG Team on access, patient programs and pricing operations and is responsible for documentation, coordination and filing of administrative activities required by the HVG Team and leads team housekeeping according to procedures set forth and compliant to Pfizer policies to include the following:
Government Access Documents - Price Quotes, Certifications/Letters, SDAFs, Contracts, Business Cases
Bidding Documents - Bid Preparation, Tender Files and Bid Statistics
Travel Arrangements - flights and accommodation booking
Meetings and Conferences - scheduling and recording minutes
Team Reports, KPIs and Dashboard - Consolidate, Maintain and Update
Fleet and Other Procurement Needs
Pricing and Growth Initiatives- tasks that may be assigned from time to time
Vendor management
Assisting HVG Lead as may be required
This role will represent the HVG Team on administrative matters, recommending, interpreting and implementing company's internal policies and procedures.
How You Will Achieve It
A. Expectations from the role
Contribute to the completion of projects, manage own time to meet agreed targets and develop plans for work activities on own projects within a team.
Provide day-to-day administrative support to Group Lead to effectively manage complex calendars, and schedule high level/time-sensitive meetings,
Manage travel arrangements, maintain files and records, and complete expense reports.
Act as a central point of contact for field colleagues providing a personal connection for centralized process.
Track progress and proactively accelerate approvals, resolving issues to support project timelines and within Key Performance Indicators.
Track process performance and drive continuous improvement activities. Uses judgment to identify and resolve issues especially when of an urgent nature.
Support business processes and objectives around government access, formulary inclusions and pricing.
Plan and execute team meetings and other conferences as needed * Work directly with external vendors or stakeholders to support them through the process explaining our processes, resolving queries and expediting contracts.
Work well in self-directed environment, with minimal instruction needed, assumes increased levels of responsibility and takes accountability for decisions and outcomes.
Track the spend against budget and any specific allocation limits, keeping stakeholders informed of progress as necessary and through quarterly reporting.
Work directly with external vendors or stakeholders to support them through the process explaining our processes, resolving queries and expediting contracts
Work well in self-directed environment, with minimal instruction needed, assumes increased levels of responsibility and takes accountability for decisions and outcomes
Track the spend against budget and any specific allocation limits, keeping stakeholders informed of progress as necessary and through quarterly reporting.
Organizes documents and maintains an inventory of electronic and hard copy files allowing for easy access
An appreciation of the need for accuracy and precision is necessary. Attention to detail is required, along with solid verbal and numerical skills.
Communicates and works in a team environment, working closely with other colleagues to coordinate workflow and completion of work within deadlines
Works with other Administrative Staff in sharing work and making sure that HVG Team functions have administrative coverage during regular business hours and other times, as needed. Responsibilities may cross departmental lines and geography.
Will be frequently exposed to information of a confidential and sensitive nature. Requires an ability to judge whether such information falls into this category, and the skills to manage this appropriately on a consistent basis. With High Integrity in handling confidential information
Coordinates meeting logistics including ensuring meeting rooms and catering are in place and coordinates meeting preparations. Proactively resolves meeting scheduling and meeting conflicts diplomatically.
Detailed Tasks:
Processing of all tender-related documents in a timely manner
Coordination with Pfizer Channel Processor and Zuellig counterparts to ensure accurate and timely submission of government tender documents
Inputs and support to Tender Reports like tender monitoring and win-rates, and similar needs
Bid preparation and submission, pricing approval and decision support for tenders
Operational expense monitoring and overall management of the HVG cost center
Administratively supporting HVG team for all procurement needs, preparation of PO for monthly car leasing, insurance, etc.
Involvement in special committees for corporate activities such as NasCon, MYPOA, Team building and other activities
Support HVG Lead on administrative needs, meetings and projects
Completes special projects as assigned
Qualifications
Must-Have
Bachelor's Degree
3+ years of administrative/support or relevant experience
Digital communication savviness a plus
Proven ability in managing day-to-day planning and operational activities
Experience coordinating global business travel
Able to demonstrate strong analytical and quantitative skills
Possess a high energy level, sense of urgency, creativity, decisiveness, and ability to work hard and well under pressure
Ability to work in a team environment and collaborate with other administrative support
Responsible self-starter with high attention to detail
Excellent communication skills with an ability to respond with professionalism in verbal and written communications with all levels of the organization
Excellent core Information Technology skills, such as MS Word, Excel, Powerpoint, etc.
Nice-to-Have
Relevant pharmaceutical industry experience
Experience in project management
Preferable knowledge of commercial processes or business analytics processes
