Position Objective:
The Administrative Assistant will form part of an Administration Team in Manila that provides support to offices in both Australian and Manila. The administration team in Manila is an important part of the whole Administration Team. Day to day, you will provide support to the professional team in both Manila and Australia, including maintaining data bases, communicating with clients and statutory authorities, working with the accountants and whatever else it takes to help your team be more productive. As such, it is important to be personable, professional, and helpful when working in this position. You will carry out this role with a goal of complete satisfaction. The ultimate objective is to keep people, projects and processes operating at peak efficiency.
General Responsibilities:
Respond quickly and professionally, to all inquiries and requests
Provide support to the team in both offices - Australia & Manila as directed to ensure that company goals and objectives are accomplished, and operations run efficiently
Maintain and refine internal processes that support maximum efficiency and productivity to expedite workflow
Plan and orchestrate work to ensure the workflow priorities are met, organisational goals are achieved, and best practices are upheld
Perform administrative and office support where required, such as typing, dictation, spreadsheet creation, preparation of electronic collations, maintenance of filing system and contact database. Some specific responsibilities are listed below.
Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business
Organise team communications and help plan events, both internally and offsite
Some of the specific responsibilities will included (but are not limited to):
· Maintaining client data base using various software (including Xero Practice Manager (XPM))
· Assisting Accountant with setting up and engaging new clients
· Managing client software subscriptions and the users that have access
· Managing direct debt database including associated invoicing
· Maintaining and processing disbursements of costs to clients
· Downloading, sorting, and distributing clients lists to the accountants using Excel (from the ATO, XPM and others).
· Using Excel to sort and provide database reports as requested
· Assisting the marketing team with LinkedIn and other social media maintenance
· Assist and support to the accountants and administration teams in both Australia and Manila as required
Requirements:
· Past dealings with Australian companies is highly regarded.
· Preferably strong English Oral skills
· Good interpersonal skills with a positive outgoing attitude and flexible
· High level of time management and organizational skills
· Highly computer literate
· Can work in minimum supervision
· Willing to work in Makati City from 7am to 4pm, Mondays to Fridays - DUE TO PANDEMIC, WORK FROM HOME SET-UP IS BEING OBSERVED
