We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude for an Administrative Assistant Role. As an Administrative Assistant, you will be providing administrative support to ensure efficient operation of the office and supports managers and employees through a variety of tasks related to organisation and communication. You will also be responsible for confidential, and time-sensitive materials and you will be familiarized with a variety of the company's concepts, practices, and procedures. You should have the ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner.
To be a successful Administrative Assistant, candidates should be professional, polite, and attentive while also being accurate. They should always be prepared and responsive, willing to meet each challenge directly. Administrative Assistants must be comfortable with computers, general office tasks, and excel at both verbal and written communication. Most importantly, administrative assistants should have a genuine desire to meet the needs of others.
Key Responsibilities
Handling office tasks, such as generating reports and presentations, and keeping the office database and filing system up to date and organised.
Providing real-time scheduling support by setting up for meetings, booking appointments and preventing conflicts.
Using computers to generate reports, transcribe minutes from meetings, create presentations, and conduct research.
Writing memos, correspondence, invoices, receipts, spreadsheets, and other reports as needed.
Maintain polite and professional communication via phone, e-mail, and other channels.
Anticipate the needs of others to ensure their seamless and positive working environment.
Position Prerequisites
Administrative assistance experience.
Knowledge of office management systems and procedures.
Excellent time management skills and ability to multi-task and prioritise work.
Attention to detail and problem-solving skills.
Excellent written and verbal communication skills.
Strong organisational and planning skills.
Proficient in MS Office.
Personality Fit
