JOB PURPOSE
The Administrative Assistant is responsible in stock monitoring, control, releasing and performs other administrative matters in support to the day-to-day operation of the department.
KEY DUTIES AND RESPONSIBILITES
1. Responsible in the preparation of Purchase Requisition, Purchase Order, Purchase Payment Requisition, canvassing and actual purchase of Office Supplies.
2. In-charge in the monitoring, control, releasing and inventory of office supply stocks.
3. Conduct daily monitoring of Office Cleanliness and sufficiency of Pantry supplies.
4. Handles petty cash, disbursement, liquidation and request for replenishment.
5. Liaise with Office Building Administrator with regard to any building administration concerns of the company.
6. In-charge in flight schedule booking of employees going on official domestic or foreign trip.
7. Attend Job Fairs and assist the HR Manager and/or HR Supervisor in scheduling applicant interviews and interview applicants as requested by the HRAD Manager.
8. Handles company Mobile Phone Communication [Sun, Globe, PLDT] concerns or issues.
9. Coordinate and maintain records for staff space, phones, parking, company credit cards and office keys
10. Arrange for repair and maintenance of office equipment
11. Maintain confidentiality in all aspects of the company's dealing and working.
12. Collaborate with other concern departments/operating units in the company to ensure compliance with establish procedures that are necessary in the execution of assigned tasks; and
13. Perform other tasks that may be assigned by the immediate superior as the need arises.
