Executive recruitment company Monroe Consulting Group Philippines is recruiting on behalf of a multinational staff leasing company. Our highly respected client is seeking an Administrative Assistant with at least 2 years' of working experience in Australian Lending industry. The job is based in Pasig City, Philippines.
Job Summary:
Manage the administrative functions within the complaints, compliance and risk, as well as to provide administrative support to the Complaints and Compliance Specialist and the Risk and Compliance Manager. It supports compliance related matters, such as fraud, AML/CTF, privacy, licensing, breach and incident management and approved party due diligence.
Job Responsibilities:
Complaint Administration
Management of complaints and compliance email inbox, including allocation of tasks to complaints and compliance staff
Respond to request for documents from customers and their advocates
Maintenance of record management systems ensuring accurate recording and maintenance of customer information and any further case relevant information
Fraud and Suspicious Matter Administration
Investigation of fraudulent and suspicious matters as they relate to both customer application and activity and employee due diligence and activity
Preparation and submission of Suspicious Matter Reports
Maintenance of Fraud Register
Breach and Incident Management
Identification and investigation into breaches and incidents in line with the Breaches and Incidents Policy
Reporting and maintenance of the Breaches and Incidents register
Compliance and Training Administration
Scheduling of compliance training on the training management system
Monitoring and reporting on the training management system
Preparation and amendment of content on training courses within the training management system
Other Compliance Related Matters
Documentation, maintenance and review of complaints and compliance processes and procedures
Implementation, maintenance and review of asset finance broker due diligence framework, process and reporting
Implementation, maintenance and review of dealership due diligence framework, process and reporting
Recommendations for improvements to efficiency and effectiveness of the Compliance Program overall
Due diligence in relation to third party providers and their adherence to Australian Privacy Principles
Maintenance of Litigation Register
General administrative maintenance of Compliance Directory
Administrative maintenance of Continuing Professional Development Registers for all Responsible Managers
General administrative tasks in conjunction with the client's risk program
Reporting
Preparation and completion of comprehensive monthly reporting on complaints for Executive Management and the Board as required
Preparation and completion of complaints presentation material to key internal stakeholder
Preparation and completion of training reports as they relate to compliance obligations
Job Requirement:
At least 2-3 years of working experience in Australian Lending Industry is required
Must possess at least a bachelor's degree in Business Studies/Administration/Management, Accounting, Finance or equivalent
Strong customer service skills
High attention detail and the ability to prioritize competing deadlines in a fast-paced environment
Strong oral and written communication skills
Excellent interpersonal skills to communicate in a clear and unambiguous manner
Analytical nature with high-level problem-solving ability
Outcome oriented with a customer centric mindset
A team player willing to apply initiative in the work environment
