ORDER MANAGEMENT
1.1 Coordinate with Sales, Suppliers and Customers regarding orders received
1.2 Scout for suppliers from time to time
1.3 Ensure correctness of PO
1.4 Process PO and ensure timely delivery to customers
1.5 Prepare correct delivery documents such as but not limited to Delivery Receipts, Sales Invoice, Official Receipts, etc.
1.6 Process permits and other related documents with government agencies when necessary
1.7 Report status of orders to the Team on a weekly basis
1.8 Prepare Sales Report based on booked orders
ADMINISTRATIVE DUTIES
2.1 Coordinate office procedures and policies with the team
2.2 Answer and direct phone calls
2.3 Prepare Minutes of the Meetings
2.4 Maintain and update contact list
2.5 Organize and schedule meetings and appointments
2.6 Carry out administrative duties such as filing, encoding, copying, binding, scanning etc.
2.7 Develop and maintain filing system
2.8 Book travel arrangements
2.9 Prepare reports as required by team
2.10 Contribute to team effort by accomplishing related tasks as required
PROPERTY CUSTODIAN
3.1 Keep an updated inventory of demo unit and test equipment
3.2 Ensure that office equipment is on its tiptop condition by completing
preventive maintenance requirements, calling for repairs;
evaluating new equipment and techniques
3.3 Ensure that equipment are returned on time and that they are
functioning well
PROCUREMENT
4.1 Ensure the correctness of the items being purchased
4.2 Secure the best price by requesting quote from at least 3 suppliers
4.3 Prepare PO and request for payment
4.4 Oversee delivery of purchased items and countercheck against the PO
REQUIREMENTS:
Degree Holder with good communications skills.
Computer literate.
Relevant experience in the above-mentioned functions is an advantage but not necessary.
Organize and can work under extreme pressure with less supervision.
Ability to handle customers' inquiry and complaints professionally.
Flexible, confident and proactive.
