DUTIES AND RESPONSIBILITIES
Receive, record and endorse outgoing and incoming communication;
Maintain clean and orderly filing system and ensure safekeeping and confidentiality of all official communications/documents;
Reproduce official communications/documents for dissemination to units/offices;
Prepare, update and maintain database management of SWEAP MIMAROPA Chapter membership and elected officers/ profiles and master listing;
Facilitate application for new members of SWEAP MIMAROPA Chapter;
Prepare, update and maintain database management of SWEAP MIMAROPA Chapter paid membership fees, monthly dues, loan payment and other related monetary contributions;
Prepare, update, coordinate payment and maintains database management of SWEAP MIMAROPA Chapter counterpart association dues to the SWEAP National Office;
Keep, update and provide appropriate numbering system of all Board Resolutions;
Send notice of meetings and follow-ups confirmation of target participants;
Solicit and prepare consolidated AGENDA of the regular or periodic meetings of the association;
Prepare, keep and send-out copies of the Minutes of Meetings
Route document for signing by the association elected officers and chairpersons;
Type/encode documents;
Draft simple communications as needed;
Monitor SWEAP monthly dues (regular, contractual and MOA
workers) which includes preparation of monthly journal of collection of dues);
Prepare detailed breakdown of cumulative expenditures and unliquidated obligations;
Conduct inventory of office properties and supplies/report any cases of malfunctioning of equipment;
Provide secretariat support in the implementation of activities/programs of the association;
Prepare a consolidated accomplishment report of the chapter;
Maintain simple bookkeeping and recording of association's cash flow and expenditures;
Keep and maintain a record of the utilization of provisionary and official receipts;
Keep and maintain all financial statement and audited reports;
Conduct coordination and follow-ups on matters pertaining to the concerns of the association with the SWEAP National Office, other field chapter offices and/or organizations;
Keep, maintain, update and print copies of the SWEAP MIMAROPA forms and other templates using the logo of the SWEAP MIMAROPA;
Keep and maintain records of the result of the SWEAP MIMAROPA Chapter Election of Officers;
Conduct bank transactions as maybe required or as per instructions;
Monitor the incoming and outgoing email messages of the Gmail account of the association and provide appropriate feedbacks to concerned association officers and members;
Monitor the FB Account and provide appropriate feedbacks to the Association Officers and members;
Coordinate closely with the HMO Focal Person at HRMDD and with the SWEAP National Office and provide appropriate feedbacks to Association officers and members and;
Perform other related and delegated tasks as maybe assigned/required by the supervisor.
JOB SUMMARY
The Administrative Assistant I is responsible for receiving, recording and endorsement of outgoing and incoming communications; prepares, updates and maintains database management of the Social Welfare Employees Association of the Philippines (SWEAP), and does other related tasks may be assigned.
